Provides general support to Senior Director, Internal Communications by managing tasks and projects when assigned, whether taking singular items and quickly executing or broad concepts and translating into detailed project plans that are executed step by step in order to deliver desired and successful outcomes:
Task

Anticipate the needs of the Senior Director, and other team members, and work to address those needs
Manage-up’ – consistently and constantly follow up with team members (including the Senior Director) to be sure they are working toward completing their objectives in line with stated goals
Seek team feedback to identify opportunities for improvement in day to day processes, then work to improve those processes in accordance with the feedback
Provide support to GCPA and cross-functional department teams to manage key associate engagement activations, including managing the internal communications and marketing plans as well as end-to-end activation support (e.g., planning, scheduling, setup, on-site support, closeout). This role should also proactively identify potential new activations.
On-site support for key communications programs (e.g., Global Communicators Summit, Senior Leadership Forums, Worldwide Business Forums, General Managers\' Conferences, etc.).
Support the development and distribution of content for internal communications programs and channels; attend Editorial Board meetings for these channels and support related work.
Monitor and respond to emails received in the team’s group mailboxes, daily. Research responses with other departments, as appropriate.
Support Manager, Content Strategy and Internal Communications and Manager, Social Media, as needed..
Planning and coordination of meetings, and workshops on behalf of the Operations Team.
Interpreted specifications, blue prints, job orders, company policy, and procedures for workers.
Use project scheduling and control tools to monitor projects plans, work hours, budgets and expenditures .
Monitoring HSE requirement and analyze risk for work schedule program.
Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; benchmarking state-of-the-art practices; participating in professional societies.
Oversee project correspondences and prepare and review project related emails, letters, proposals, memos, meeting minutes and other documents and providing data and reports to help the project team and making coordination.
Search and communicate vendors for pricing, purchasing equipment availability and staffing also preparing delivery note and project sheet.
Analyze and resolve site issues in a timely and accurate manner.
Keep the Project Manager (PM) and others informed about project status and issues that may impact client relations.
Coordinates and attends meetings; establishes and maintains internal and external contacts as necessary.Prepares reports by collecting, analyzing, and summarizing information.
Create and maintain comprehensive project documentation, plans and reports Maintains quality service by establishing and enforcing organization standards.
