Administration Affairs:
 To monitor sales/export activities, purchase activities and negotiating with buyers and suppliers in absence of departmental in charge as per order requirements and to assure on time order confirmations and follow up with in house production team.
 To monitor logistics personnel working who are engaged with clients thorough negotiations among freight forwarders and arrangement of shipping details like shipping labels, preparation of Invoice & packing list, arrangement of weight & volume through dispatch, AWB/BL instructions & Certificate of Origin (COO) as per customer requirement for export shipments handling and good understanding of JAFZA port and custom handling affairs.
 To manage renewals of company trade license, Chamber membership, Operation fitness certificate and other corporate formalities by (EHS) etc., when required/ instructed and proactively attend to the renewals of all existing ones before their respective expiry dates.
 Responsible to perform HR activities and to handle day to day workflow of Admin affairs as required involving arrangement of (new visas, renewals & cancellations) as per JAFZA rules, medical insurance, ID cards, temporary access passes, and rest all approvals that are required by JAFZA – Dubai trade Portal activities and to obtain any service time to time etc., and thereby rendering effective administrative support to all departments/ employees at all times.
 To develop and maintain strong working relationships with JAFZA legal & labor department authorities to ensure smooth operations and quick turnaround times on related correspondence issues.
 Organize meetings and business trips for top management,
 Entertain the requests initiated by top management, either business related or personal,
 Coordinate with departmental heads to fairly settle the disputes of personnel’s,
 Scheduling & monitoring the working of drivers along with transportation matters, (i.e. maintenance, renewal).

HR Affairs:
 Announce the new vacancy through WEB, printing media or recruiting agency, against request initiated by internal departments with details of required caliber after approval by management,
 Review the applicant’s Bio-data, screening the applicants with coordination of concerned department head whose initiated request, and arrange interview according to company procedures,
 Issue appointment letter to successful candidates and prepare VISA related documents according to the JAFZA/Immigration procedure, handle the matter if any objection raised by regulatory authority related to VISA issues,
 Upon issuance of VISA by JAFZA authority, prepare & arrange travelling of the candidates from their home country according to the company policies,
 Upon arrival of candidate, prepare the documents for VISA stamping according to the JAFZA procedures,
 Give general orientation to newcomer about company polices, rules & regulations and introduce him/her with existing team,
 Finalize the Job descriptions with coordination of related departmental heads & QA according to the company policies and communicate to newcomer,
 For on-job training send employee details to QA for arrange their training with coordination of concerned department head,
 Prepare documents for renew the residency status of personnel’s,
 Monitor the IN/OUT duty times, overtimes, leaves, etc. in attendance machine and prepare monthly report and submit it to finance for remunerations,
 According to the company policies, plan and arrange annual / emergency leaves of personnel’s according to their request with prior consultation of concerned departmental heads,
 Prepare the departmental wise basic job requirements and the range of pay scales for the hiring through media advertising or recruiting agencies,

Sales, Export & Purchase Affairs:
 Initial correspondence with new clients or nominated clients,
 Review and authorize the documents, i.e. Order Review Sheet, Supplier Copies, Order Confirmations, Purchase Orders, Quotations, Invoices, Local purchasing Bills, etc.
 Arrange supporting / legal documents requested by customer, i.e. (Certificate of Origin, ISO / CE Certificate, EC Declaration,)
 Handling of Customer Complaints & RTV’S processing,
 Coordinate with purchase to maintain uninterrupted flow of materials to support the internal demands through placing orders timely to vendors,
 Monitor the efficiency of purchase & sales personnel’s keeping in view the methods they are using to perform their role,
 Ensure that customer inquiries are entertained efficiently & effectively and shipments delivers to client according to the committed,
 Ensure that both department sales & purchase provides details (follow up and feedback) efficiently to concerned departments and these details should be accurate & comprehensive,
