Accounting, Finance and Administration
Manage overall operation of Project offices including Lahore, Multan, Vehari and Khanewal.
Manage financial records and all properties of the Project.
Prepare the budget and expenditure statements for all Project activities in coordination with national staff and experts.
Check financial documents and compile them as a financial report and submit it to the Project Coordinator in a timely manner
Make sure to comply with the Project’s financial regulations.
Manage effective filing/record-keeping system in the Project office of all financial transactions and administration.
Procurement
Manage office equipment/supplies procurement in coordination and keep an inventory of the project assets
Manage technical equipmen and expert equipment in the Project offices including Lahore, Multan, Vehari and Khanewal
Logistics
Make logistic arrangements in the Project offices including Lahore, Multan, Vehari and Khanewal
Prepare cost estimate, standard specification, scope of services of project procurement.
Ensure proper logistic arrangements for training, workshop, and any other related events of the Project.
Manage operation of project vehicles, hiring cars and maintaining project equipment/motor vehicles in a good condition.
Coordination
Coordinate/Liaison with stakeholders including Government Counterparts at the Central/Provincial/Divisional and District level as and when assigned by Country Manager, Project Coordinator and Chief Advisor.
Ensure all training Fees, honorarium, Travel Allowance (TA) and Daily Allowance (DA), materials and refreshment for conducting training/workshop are prepared as per the project policy and the government regulations timely.
Coordinate with Finance and Administration Officer, District Managers and Project Assistant for administrative work of the project and provide appropriate support under the supervision of the Country Manager and Project Coordinator
Management
Manage and supervise the Finance and Administration Officer (FAO) and Project Assistants (PA) of the project offices.
Reporting
Draft and finalize the minutes of meetings.
Submit regular finance and activity reports timely.
Others
Other tasks requested by Chief Advisor/ Project Coordinator/ Experts, Country Manager and Health Promotion/Monitoring Supervision Manager.
Financial Record-Keeping: The accounts officer is responsible for maintaining accurate financial records, including the recording and classification of transactions. This may involve reviewing invoices, receipts, and other financial documents to ensure accuracy and completeness.
Reporting and Analysis: Accounts officers often prepare financial reports and statements, such as balance sheets, income statements, and cash flow statements. Accounts Receivable/Payable Management: Accounts officers monitor and manage accounts receivable and payable. They verify and process invoices, track outstanding payments, follow up with clients or vendors for timely payments, and reconcile accounts.
Maintaining Confidentiality: Accounts officers handle sensitive financial information, and it is their responsibility to maintain strict confidentiality and data security.
Financial Analysis and Decision Support: Accounts officers may analyze financial data to help identify cost-saving opportunities, improve efficiency, and support strategic decisions. They provide financial insights and recommendations to management
Accounts Receivable/Payable Management: Accounts officers monitor and manage accounts receivable and payable. They verify and process invoices, track outstanding payments, follow up with clients or vendors for timely payments, and reconcile accounts.
Audit and Compliance: Accounts officers cooperate with internal and external auditors during audits, ensuring that financial processes and controls are in place and adhered to. They also help implement necessary measures to comply with financial regulations and standards.
