Responsibilities:
Inventory management, assets marking, physical verification and preparing handing over protocols of the items to be handed over to counterpart as per organizations rules and regulations.
Process procurement cases of outdoor trainings, workshops, fund-raising events, hotel bookings, air ticketing, rental vehicles or any other repair & maintenance services.
Process and negotiate services contracts with vendors and suppliers, including air ticketing, hotel agreements, rental vehicles agreement, or any other agreement in compliance with organizations policies.
Coordinate with vendors and ensuring timely deliveries.
Coordinate and support regional staff members in obtaining NOCs for international donors to travel in different cities of Pakistan requiring NOC.
Organizing in country travelling of staff members, and international traveling of executive management, ensure timely logistical arrangements, i.e. air tickets, accommodation, transportation, etc.
Arrange indoor/outdoor trainings, workshops, seminars, meetings and fund-raising events.
Coordinate and ensuring all event-related administrative and logistics tasks are handled efficiently.
Oversee, plan and supervise timely general maintenance of IT equipment’s and building repair & maintenance works, coordinate resolution of other issues with the relevant service providers.
Process payments of all service providers, checking invoices, goods inwards receipts, any other supporting documents, payment instructions and keep updated record of all payments.
Managing the Administrative budget, including cost control measures and expense tracking.
Serving as a liaison between departments, senior management, and external stakeholders.
Developing and updating administrative policies and procedures to reflect changes in regulations or organizational needs.
Ensuring the organization adheres to health and safety regulations to provide a safe working environment.
Any other functions, as required for effective administration of staff and office premises.
Responsibilities:
Monitor and update inventory database, to control inventory levels, tracking stock movements, and conducting regular stock counts to ensure accuracy and completeness of inventory records.
Record incoming inventory shipments, verifying quantities, quality, and condition of goods received against purchase orders.
Receive and inspect delivered materials and advise suppliers of defective goods delivered, arrange necessary follow-ups until finalization
Assist with facilitating internal & external controls (including audits), i.e. Inventory purchase, tagging, repairs and ensure proper functioning of inventory and assist in the follow-up of audit recommendations.
Supervise & visit regional offices, as required and ensure that the provided services within the section are done correctly according to the guidelines.
Handling petty cash and processing invoices and maintain.
Processing all the documentation related to official vehicles i.e vehicle registration and token taxes in excise & taxation department.
Fleet management of official vehicles, managing drivers schedule, overseeing vehicle maintenance, fuel consumption, and repair & maintenance records.
Coordinate meetings, appointments, and travel arrangements for staff.
Oversee the general maintenance, cleanliness and supervise security of the office space.
Coordinate repairs and maintenance with relevant service providers.
Process payments of all service providers and coordination with finance team for financial documentation.
Assist senior management with various administrative tasks.
Any other functions, as required for effective administration of staff and office premises.
