Maintain CEO’s calendar and assist in planning appointments, board meetings, conferences etc.
Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy
Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed.
Take follow up from the team as per their assigned task by CEO
Attend meetings and keep minutes
Make travel arrangements for executive
Handle confidential documents ensuring they remain secure
Maintain electronic and paper records ensuring information is organized and easily accessible
Collect data on a regular basis to measure achievement against the performance indicators.
Contributes to team effort by accomplishing related results as needed
Provides historical reference by developing and utilizing filing systems
Provide informative, timely and effectively presented written reports/numerical data as required
Is responsible for filing all project related documents
Responsibilities:
• Provide logistical support to national and international consultants visiting the office, including the arrangement of transport for field visits, and accommodation.
• Responsible for the negotiation with hotels and guest houses which are security cleared about rates and conditions.
• Identify local vendors for regular and minor operational procurement.
• In liaison with the technical team prepare budgets for provincial training events, meetings, conferences and workshops
• Assist in the preparation of provincial training events, meetings, conferences and workshops, make the necessary logistical arrangements and ensure they are implemented properly
• Assist the technical staff in preparing meeting minutes, reports and any other documents and disseminate them as necessary.
• Receive all incoming ordinary mail and distribute to the relevant staff.
• Maintain logbooks for outgoing mail and make sure that mail is sent to recipients as early as possible.
• Check and pay all courier bills.
• Supervise the provision of office supplies, stationery and refreshments (tea, coffee, water etc) for the office.
• Assist the office Manager in maintaining record of official Provincial travel and leave by the project staff
• Ensure all office equipment and furniture is maintained in good condition.
• Maintain an inventory record and stock of office supplies (incl. coffee, tea for the kitchen, cleaning materials and toilet articles, etc.) and all stationery.
• Coordinate provincial driver duties.
• Ensure the office vehicles are in good condition and all transport records and vehicle log books are maintained.
• Help out – if necessary – with any other clerical work.
• Conserves executive’s time by reading, and routing correspondence, drafting letters and documents
• Maintains executive’s appointment by planning and scheduling meetings, conferences, teleconferences, and travel.
