Job Responsibilities Including: -
Coordinating with CFO / Head of Business Operations for daily activities/tasks.
Managing office supplies and issuing purchase orders, coordinates with Vendor for day-to-day orders.
Organize a filing system for important and confidential company documents.
Preparing reports and presentations with statistical data, as assigned by the head of the department.
Organizing special in-house functions and Cooperate Events, Arrange travel and hotel reservations.
Assisting other departments (such as Finance & HR Deptt.) with administrative support.
Preparing & processing vendor bills / invoices / petty cash statements. Canteen Management.
Fleet Management (Maintenance, Insurance & Tax). Inventory Management with the help of the Store team.
Utility Bill Payments (SSGC / PTCL / ELECTRIC), Tracks bills status, purchases of Housekeeping items, maintains & distributes as needed. Preparation of Service Contracts / Agreements.
Responsibility for a branch\'s ongoing operation, renovation, maintenance, and overall procurement (Pan Pakistan Branches).
Handling Fixed Assets Management (Disposal / Asset Tagging / Transfers).
Managing general procurement of Head Office items and overall Pakistan monthly consumable items
1. Coordinate with GM, custodial workers, and of such other pertinent offices necessary for the effective performance of their duties and responsibilities.
2. Plan, schedule maintenance activities to ensure the efficient utilization of the utilities, facilities, and equipment.
3. Supervise all vehicles (Maintenance, Insurance & Tax), and also verify the logbook.
4. Maintenance of office discipline & decorum.
5. Arrangements for Air Tickets, Hotel reservations and perform other department duties, as needed or requested.
6. Carry on all the duties and responsibilities in the absence of the Chief Manager (Admin).
7. Responsibility for department supplies and inventories.
8. Tracks status and orders, purchases, maintains or distributes as needed.
9. Disbursement of Salaries to Casual Workers.
Job Responsibilities Including: -
Ø Responsible for staff evaluation, confidential reports & feedback to staff for improvements.
Ø Enable to take necessary action against erring staff for maintaining office discipline.
Ø Supervise and control the available facility services such as telephone, security, reception, liftman, housekeeping, etc.
Ø Handling the Recruitment process, multiple administrative tasks like administrative functions, facilitates management, insurance, and employees’ salaries.
Ø Enable to handle the work of the highly confidential nature that may be undertaken by his section and responsible for preserving all the documents, deeds, etc. concerning the admin section.
Ø Arrange for purchase of stationeries, the printing of books/flames, forms as per the requirement, and ensure keeping up of adequate stock of stationery books, etc.
Running errands and performing miscellaneous job-related duties as assigned by GM / CEO
