Job Responsibilities: ➢ Provide Leadership on the People Agenda of the organization and following the Group\'s and the investors, directions vision and manage the transformation journey of Liberty Books.
Recruitment & Selection:
➢ Shortlist and prescreen the potential profiles for the vacant positions for head office & outlet staff.
➢ Assist the team for the prescreen calls and onsite interviews.
➢ Headhunting of Retail Outlet staff and collect their resume from different sources to streamline the hiring procedure and timely filling out the vacant positions
➢ Coordinate with universities placement departments for CV pool of junior candidates.
Attendance Management:
➢ Enroll all employees to the attendance machine for their thumb impression.
➢ Head Office and Outlet Attendance scheduler running on daily basis on software Flow HCM.
➢ Check and proceed with the approval of half days.
➢ Transfer of retail outlet team into different locations as per the requirement.
➢ On Daily basis, extract the attendance of Head Office from machine/software Flow HCM and make a compile report of all the Late, Leave and absent employees.
➢ Maintain and update the record of attendance for all employees on Software Flow HCM.
➢ Check and extract the attendance record from the software Flow HCM to proceed for payroll purpose.
➢ Resolve issues relating to the attendance of all employees especially.
Leave Management:
➢ Knowledge of all the conditions related to Annual, Casual and Sick leaves.
➢ Check and proceed with the approval of Casual and Sick leaves.
➢ Assist employees by guiding them with the leave policies time by time.
➢ Initiate a written intimation related to policies on quarterly basis, so those employees are well aware with the same.
Attendance and Leave records:
➢ Proceed with the Leave, Half Day approvals case to case basis.
➢ Check and review all the attendance and leave requests received from employees.
➢ Guide, counsel and assist employees for the frequent late comings and absents.
➢ Verify the attendance from overall employees before proceedings with the payroll.
➢ Conduct sessions with employees on their irregular attendance and leaves.
Policies/ SOP and Procedures:
➢ Review all the policies and strong command over it.
➢ Understand and clarify the same to employees.
➢ Conduct sessions with employees as where required on policies and SOPS. Payroll Operations:
➢ Check and finalize the monthly attendance for the processing of payroll with the software Flow HCM.
➢ Add all the claims, attendance and allowances of Outlet/Head Office in the software flow HCM.
➢ Addition of employees for provident funds in the software.
➢ Check and prepare the reports of New, Confirmed and Exit employees.
➢ Process payroll in coordination with Admin department and Finance department.
➢ Coordinate with finance team for all the matters related to salaries.
Compensation and Benefits
➢ Designing the salary structure for new hiring with the coordination of Senior Management.
➢ Prepare consolidated MIS of Payroll with the respective categories for both Retail and Head office.
Performance Management:
➢ Process yearly performance appraisal with the required documentations.
Employee Engagement Activities:
➢ Generate ideas to organize employee engagement activities in coordination with Senior Management.
➢ Assist and Guide employees to resolve their matters related to the workplace.
Exit Formalities:
➢ Conducting the exit interviews of candidates who are resigning.
➢ Trying to get constructive feedback for company and trying to implement the corrective measures for them.
➢ Helping the person to be relieved properly.
➢ Issuing relieving letter and letter of experience.
➢ Processing of Full and Final settlement in coordination with the finance team.
Training & Development: ➢ Proceed Training Need Analysis (TNA) of all outlets. ➢ Conduct on boarding orientation of new employees. ➢ Visit company outlets twice a week to cover all the inland outlets in a month.
➢ Design Trainings on regular basis by doing complete research work and present it to the management.
➢ Conduct new employee orientation to foster positive attitude towards company goals and also prepare joining kit for the new employee.
➢ To assist the Line Manager compiling Employee handbook and design various forms and test as per the requirement of the organization / prepare document of new joining.
➢ Perform Job Analysis and Job Evaluation for critical positions in the organization as and when required basis also ensure that accurate Job descriptions are in place before hiring.
