• Maintain HR Filing system for all three offices, record keeping of all documents, both electronically in TAMIS and hard binders.
• Support in vetting process for potential employees.
• Support in recruitment processes that advertising vacancies, shortlisting candidates, EBD Verification, reference/background check, and issuing employment/consultant contracts to new hires as well as recruitment of grants related staff.
• Recording the process of candidate Selection, writing salary justification and coordinating with HO on regular basis regarding recruitment approvals, transfers, resignations, leave encashment, processing final payments etc.
• Coordinating with HO for creation/deletion of Oracle ID’s and Email ID’s for project employees.
• Maintain leaves record for all staff both manually and in TAMIS.
• Time sheet processing and maintaining monthly consolidated data and disbursement of pay-slip for all staff.
• Managing and tracking changes in Health, EOBI & life Insurance details of all staff.
• Maintaining trackers for employment, leaves, health claim reimbursement, performance management, attendance.
• Serve as a backstop in the absence of HR Manager.
Assist the Manager HR Operations & Service Delivery in all functional area of HR Operations & Service Delivery with the responsibility of coordinating with all branches for smooth execution of entire spectrum of activities related to HRIS and Resignation-Separation Process.
Responsible of all the Transactions/Changes entered in HRIS after thorough Verification in order to maintain quality data and timely payroll disbursement. Preparing monthly payroll folder and signoff the information which includes detail regarding new joiners, confirmations, probation/contract extension and termination, Resignations, Hold cases etc.

Successfully implemented digitization of two major HR Processes i.e Confirmation and transfer process.
Recruitment & Selection:
Initiate all recruitment actions including processing establishment of new positions, preparation of post description forms, vacancy announcements, screening of applicants and necessary arrangements for tests and interviews.
Executing and assisting in selection processes including interviews, tests, and questionnaires for national positions.
Documentation:
Maintain a record of TORs for staff and consultants and keeping track of all contract extensions and renewals for staff by the program.
Update and maintain HR filing system, including performance appraisals, ensure confidentiality, and provide statistical information and reports as and when necessary
Database & Administration:
Maintain HR database, monitor expiration of all types of staff and non-staff contracts, including initiating extension, separation and other staffing actions as needed, attaching necessary documents.
Provide briefing to staff and non-staff on HR related rules and procedures especially on Contracts, Visas, UNLP, Travel Arrangements, Entitlements, Recruitment, Promotions and Leave Records as well as on general administrative matters.
Assisting in annual budgeting for all the SSAs
Liaise between WHO country office, sub-office and regional office as well as GSC in processing all issues related to human resources
Performance Management:
Providing orientation to all new and developed orientation package and manual.
Assisting Senior Emergency Coordinator with probationary and annual performance appraisals
Compiling and executing annual renewals and extensions according to the approved appraisals by regional office.
Payroll Administration
Responsible for complete payroll processing including preparing and administering payroll for over 500 employees.
Timely and accurate processing of payroll for new hires, separations, timekeeping, pay changes.
Audit Facilitation
Assisting the AFO in HR related audit procedures.
Recruitment & Selection:
Focal Person for recruitment of all Positions for full time, Part-time time staff, consultants and Interns.
Executing and assisting in selection processes including interviews, tests, and personality questionnaires and as and when required.
Assisting in the development of TORs for all positions.
Conducting new employee orientation which includes: ensuring all HR-related policies are explained, all necessary documents are received, equipment handed over replete with active credentials etc
Documentation:
Responsible for completion of all hiring document and personal file and further
preparation of appointment letter and processing the same with all related
documents
Open and maintain specified staff personal personnel files ensuring their confidentiality and security;
Assist in the development of all necessary documentation, agreements, MoUs, etc. in accordance with the audit requirements of WWF–Pakistan, the UNDP Project Cycle Operations Manual and, where necessary, Programme Donor Agencies
Database Administration:
Initiated and developed an HRIS for PWP staff and responsible for the maintenance and updating of the system
Preparing necessary reports form HRIS for Programme staff for use in analysis and future planning;
Keep track and database of applications received for future openings.
Checking and reviewing the attendance record of staff and maintaining the leave record of all staff
Performance Management:
Devising and conducting annual performance evaluations which include: allocating percentages, forwarding appraisal forms, getting feedback, tabulating the data and presenting it to higher management for final action
Assist in the development of ongoing Training Plan for the staff based on the recommendations received from supervisors;
Conduct in-house workshops and briefings for staff and train staff in human resource practices in cooperation with the Human Resources Staff of WWF Pakistan;
