概要

Human Resources:


•        Filing, maintain all administration files of staff, including personal service record of every staff member, maintain EOBI and health records of staff and provide technical support.


•        Supervision of HR/Admin Assistants in day to day routine team work and provide assistance in order to produce information in soft and hard form and prepare contract amendments upon request of Area HR / Admin Manager.


•        Prepare vacancy announcements for recruitment of staff for and circulate through relevant channel, arrange tests and conduct interviews of staff for new recruitment.


•        Prepare employment contracts for new staff and maintain attendance records and over time record.


•        Ensure HR procedures are implemented according to organizations / institutions guidelines and standing operating procedures. SOP


•        Ensure that staff appraisal are regularly made, as per HR Manual.


•        Handling of web facilitation system regarding registration of employees with EOAB facility.


•        Handling of web facilitation system regarding registration of employees with employees Social Security (PESSI) facility.


Administrative tasks :


•        Inventory tagging on new fixed Asset items and inventory record updating.


•        Preparation of notices and brief for employees of the organization.


•        To prepare, compile, organize and maintain different department reports.


•        To monitor support staff and schedule their activities.


•        Utilities Management (Utilities bills/ dealing with concerned department)


•        To handle general administrative tasks or any assignment the managers.


•        Vendor and fleet management and prepare contract and supply orders.


•        Facilitate meetings including their scheduling and recording of minutes


•        Create tasks after the meetings; forward to appropriate department & follow up


•        Prepare and organize different official documents – Drafting and writing high quality reports and presentations, as required Managing Director POF Welfare Trust and Chairman POF Board Wah Cantt.


•        Prepare administrative documents such as internal memos and letters.


•        Ensure that administrative procedures are implemented according to guidelines and SOPs;


•         Ensure officials rules, regulation, processes and procedure are in place in daily routine


       office work.


•         Stock taking carried out in co-ordination with Accounts Deptt in various organizations i.e.


       Transport Service and Educational Institutions.


•         Over all supervision of Educational Institution at university undergrad program level.


•         Handling of students admission prospectus and checking of the said forms for admission


       confirmation.


Procurement tasks :


·         •        As per requirement of institutions / organization prepared list of items for procurement from local market and from Rawalpindi.


•        Obtained quotations from various vendors on their letter head pads.


•        Preparation of Comparative Statement alongwith supporting documents i.e. quotations.


•        Prepared procured various items / assets after getting approval from higher authority.


•        Approval case prepared for getting approval from highter authorities. 


•        After approval, procured all required items through purchase committee and prepared GRN (goods received note) for taking items on stock / charge.


•        Original invoices of all items handed over to Finance and Accts department for record.


After receipt of passengers tickets from Printers in bulk Qty, verification of stock taken on the charge of ticket office. After verification a report of shortage / surplus was made for onward submission to higher authority.
