Main Responsibilities

· Maintain a complete list of all societies and contact details of office bearers.

· Custodian of policy & process documents for ECA.

· Ensure that all societies’ details are placed and updated on web on regular basis.

· Ensure the proper implementation of rules and regulations and follow up by the societies.

· Analysis of Clubs activities, budget and facility requirements, and also check and make sure that scope, purpose, and activities of the new intended society do not overlap with another organization.

· Review the event arrangement proposal of the societies.

· Maintain the numbers of societies equal or below the approved limit. And in case of number exceeds this limit, facilities the merger of societies with common purpose.

· Maintain the record and also raising the online PR through the SAP system (any prior experience of SAP will be an added advantage). Strong follow-up is required

· Prepare and analysis of societies ledgers (revenue and expense sheet), advances and reimbursements.

· Ensure the implementation of ECA policies through personal visits on campus and late night stay during society’s activities for monitoring purpose.

· Maintain the register and list of societies assets

· Booking of venues for societies activities

· Moderation of societies emails after deep analysis

· Gather the pre and post event reports with all necessary documents. Analysis of data acquired from societies
