Job Description

POSITION TITLE:  Office Assistant/Receptionist

Report to: Public Relations Officer

Key Responsibilities:

  • Schedule appointments with staff for visitors.
  • Monitor Security Camera.
  • Keeping reception area neat and tidy.
  • Ensure all visitors are have gone through security protocols (check with security) before letting them in.
  • Ensure staff Tracking Board is updated daily by all staff.
  • Facilitate in providing administrative support services.
  • Receive all incoming mail and deliveries and dispatch out- going mail.
  • Maintain a log for all personal usage of ARC Land, Lines Guest Room or TCS etc.
  • General administrative and clerical support
  • Maintain electronic file system.
  • Maintain a telephone list of all ARC Offices including extension numbers and mobile number for all staff.
  • Prepare and regularly update contact details of staff, INGOs, NGOs, Govt. agencies and suppliers.
  • Any other duty assigned by supervisor/management.                                                          

EDUCATION, TECHNICAL SKILLS & KNOWLEDGE REQUIRED 

  • Intermediate/Bachelors with 2 years previous experience in similar position.
  • Good written and spoken English.
  • Good knowledge of MS Office
  • Good Interpersonal skills, polite, courteous & pleasant personality
  • Responsiveness to direction & willingness to learn and take initiative.
  • Verbal and written communication skills

  • Must be available for some evening and weekend hours
