Virtual Sales Coordinator

You will play a pivotal role in supporting our sales team and ensuring smooth operations within the sales department. You will be responsible for managing customer orders, handling inquiries, and providing administrative support to facilitate efficient sales processes.

Responsibilities:

Process Orders:

Handle orders received directly from customers, ensuring accuracy and timely processing.
Offer substitute items for out-of-stock (OOS) products to meet customer needs.

Sales Support:

Assist sales representatives with order processing via iPad or other communication channels.
Send proforma invoices and follow up on payment inquiries.

Customer Communication:

Answer incoming emails and direct inquiries to the appropriate department or team member.
Respond to customer queries and resolve issues in a professional and timely manner.

E-commerce Platforms Management:

Monitor and manage tickets, spare parts, and overdue alerts on e-commerce platforms like Wayfair.
Process sample requests and orders from designated sales representatives.

Account Management:

Open new customer accounts, arrange web logins, and provide necessary support to onboard new clients.
Guide customers through the Direct Dispatch (DD) process, send relevant terms and conditions (T&Cs), and facilitate stock feed setup once approved.

Retail Portal Coordination:

Coordinate booking processes for retail partners such as TK Maxx, Woodies, and Urban Outfitters.
Manage order processing, paperwork, label generation, and packing slip printing via respective portals.

Quote Management:

Prepare and send quotes to potential customers via email.
Track and follow up on quote inquiries to ensure customer satisfaction.

Ongoing Support:

Handle inquiries from the warehouse regarding order processing and inventory management.
Assist sales representatives with inquiries and provide necessary support via email or telephone.

E-commerce Platform Maintenance:

Process orders and confirmations on platforms such as Ocado and Faire.
Upload and maintain up-to-date stock levels on Faire portal.

Administrative Tasks:

Answer queries assigned via ticketing systems like Freshdesk or SAP.
Track orders and shipments using various logistics platforms (e.g., UPN, APC, Parcelhub).
Generate reports and track orders not reaching the warehouse daily using SAP.

Qualifications:

Previous experience in a sales coordination or administrative role.
Strong organizational and multitasking skills with attention to detail.
Colloquial spoken English is a must.
Excellent communication and interpersonal abilities.
Proficiency in Microsoft Office Suite and familiarity with CRM software.
Ability to work independently and collaborate effectively within a team environment.
Knowledge of SAP B1 ERP system is a plus.
