The Growth Support Officer provides the administrative, financial and compliance backbone of the Growth Department. Reporting directly to the Head of Growth, the post-holder makes sure the department's paperwork, invoices, procurement records, due diligence and contracts are complete, accurate and in place on time, so that fundraising, marketing and supporter teams can focus on delivery.

This is a support role that works across the whole department. The post-holder processes and tracks invoices and purchase orders with Finance, works with the Procurement team to keep supplier and agency paperwork compliant, prepares due diligence well ahead of deadlines, keeps budget and KPI trackers up to date, takes minutes and tracks actions for the Head of Growth and departmental meetings, and acts as a practical link with Finance, Procurement, Operations, HR and the Impact and Programmes teams.

The role supports delivery of the MAUK Growth Strategy, in particular the Operational Goal (operational excellence, cross-departmental working, quality data and a whole-year approach) and the strategy's commitment to good stewardship of the costs of raising funds. The post-holder works within agreed processes and under the direction of the Head of Growth; strategic decisions and approvals remain with budget holders and managers.

Responsibilities
  1. Finance, Invoicing & Budget Administration
  • Raise purchase orders and upload supplier invoices to Business Central in line with Muslim Aid's financial procedures.
  • Follow up invoice approvals with budget holders and Finance so that agencies, suppliers and partners are paid accurately and on time.
  • Respond to supplier and agency queries on payments, remittances and outstanding balances, escalating issues to Finance or the Head of Growth.
  • Maintain the departmental budget tracker, recording commitments and actual spend against approved budget lines throughout the year.
  • Collate cost and income data so that campaign and channel return on investment (ROI) can be reported by budget holders.

2. Procurement, Due Diligence & Contract Paperwork

  • Work with the Procurement to make sure all Growth purchases follow Muslim Aid's procurement policy and thresholds, from quotes through to contract.
  • Prepare tender and bid paperwork, and compile bid comparison sheets for managers to review and decide on.
  • Prepare due diligence on new suppliers, agencies, consultants and partners well in advance of engagement, and keep existing due diligence current.
  • Prepare contracts, agreements and MOUs using approved templates for review by managers, Procurement and Legal as required.
  • Track procurement paperwork serial numbers, signatures, renewal and expiry dates, so that no supplier works without valid paperwork in place.
  • Check that team activity with external providers stays within agreed contracts and scope, flagging any gaps to the relevant manager.

3. Head of Growth & Meeting Support

  • Take accurate minutes for Growth leadership, departmental and cross-departmental meetings, and circulate them promptly.
  • Track action points from meetings and follow up with action owners on progress, escalating overdue items to the Head of Growth.
  • Manage diaries, schedule meetings and prepare agendas, papers and briefing packs in advance.
  • Support the Head of Growth in preparing papers and presentations for the Leadership Team, Board and Growth Committee, including formatting, collating inputs and checking accuracy.
  • Handle routine correspondence and enquiries on behalf of the Head of Growth, prioritising and redirecting as appropriate.

4. Reporting & Performance Tracking

  • Maintain the departmental KPI tracker and collate data from Growth teams for the Growth KPI dashboard and trustee reporting.
  • Track planned activities against the Growth Strategy and workplans, highlighting slippage for managers to act on.
  • Prepare routine internal reports, summaries and presentations using standard templates.
  • Compile donor feedback and stewardship reports using information supplied by Impact, MEAL, Communications and Supporter Engagement teams, under the direction of the relevant manager.
  • Undertake desk research and information gathering as requested, for example supplier or market comparisons.

5. Records, Documentation & Information Management

  • Maintain organised, secure digital filing for the department, including contracts, due diligence, invoices, approvals and governance papers.
  • Organise and maintain photo and story consent forms in the shared digital space in line with Muslim Aid's document management, IT and data protection policies and UK GDPR.
  • Keep the department's business continuity plan (BCP) documents, key contacts and process notes up to date.

6. Cross-Team Coordination & Departmental Support

  • Act as a practical point of contact between Growth and Finance, Procurement, Operations and HR for administrative and compliance matters.
  • Support coordination with the Impact and Programmes teams by organising joint meetings, tracking agreed actions and keeping shared paperwork in order.
  • Provide administrative support to Growth teams for campaigns, events and activities, including logistics, bookings and supplier paperwork.
  • Support recruitment and onboarding administration for Growth roles in coordination with HR.
  • Use AI and digital tools to simplify routine administrative tasks and suggest improvements to processes.

7. KEY PERFORMANCE INDICATORS (KPIs)

KPIs support the Operational Goal of the MAUK Growth Strategy 2026-2030 and will be agreed with the Head of Growth during induction.
