The People Management and Protection Officer will support the Lead – People Management and Protection in strengthening people management, safeguarding, staff wellbeing and protection systems across Muslim Hands' global network.

 

The post holder will contribute to the implementation and continuous improvement of organisational policies, systems and practices that promote a safe, respectful and inclusive working environment. Working closely with Regional Development Coordinators, Country Offices and other Global Operations teams, the Officer will provide technical and operational support to strengthen organisational compliance, staff wellbeing, safeguarding standards and people management practices across the organisation.

 


Responsibilities

Key Responsibilities

1. People Management

  • Support the implementation and continuous improvement of organisational people management policies, procedures and systems.
  • Provide technical and administrative support to Country Offices on people management matters under the guidance of the Lead.
  • Assist in the review and development of people management policies, procedures, guidance notes and standard operating procedures.
  • Support workforce planning, organisational development and staff engagement initiatives.
  • Coordinate people management activities and follow up on agreed actions with Country Offices and Regional Development Coordinators.
  • Maintain departmental records, databases and documentation related to people management.
  • Assist in monitoring compliance with organisational people management policies and recommend areas for improvement.
  • Support the rollout, maintenance and continuous updating of the global staff management portal across all Country Offices, ensuring complete and accurate employee data coverage across all countries.

 

2. Safeguarding and Protection

  • Support the implementation of organisational safeguarding policies and minimum standards across all Country Offices.
  • Assist Country Offices in strengthening safeguarding systems, practices and compliance.
  • Coordinate safeguarding induction sessions, awareness campaigns and refresher training programmes.
  • Support safeguarding risk assessments, monitoring visits and compliance reviews.
  • Assist in the development and review of safeguarding policies, procedures and guidance materials.
  • Promote a culture of safeguarding, dignity, inclusion and accountability throughout the organisation.
  • Maintain safeguarding documentation and records in accordance with organisational confidentiality requirements.
  • Maintain a central log of all safeguarding complaints received through the organisational Complaints Response Mechanism (CRM), ensuring accurate recording, classification and secure storage of all cases.
  • Track the progress of safeguarding investigations in coordination with the Lead – People Management and Protection, ensuring timely updates, escalation where required, and closure in line with organisational procedures.
  • Conduct structured follow-ups on safeguarding cases to ensure agreed actions are implemented by relevant Country Offices and stakeholders.

 

3. Safeguarding Case Coordination

  • Support the Lead – People Management and Protection in coordinating safeguarding cases referred through the organisational Complaints Response Mechanism (CRM).
  • Maintain confidential safeguarding case records and ensure secure documentation throughout the case management process.
  • Coordinate with relevant internal stakeholders to facilitate timely and appropriate safeguarding responses.
  • Monitor the progress of safeguarding cases and follow up on agreed actions under the guidance of the Lead.
  • Assist in preparing safeguarding case summaries, reports and trend analyses while maintaining strict confidentiality.
  • Identify lessons learned from safeguarding cases and contribute to strengthening organisational safeguarding systems and practices.

 

4. Staff Wellbeing and Duty of Care

  • Support initiatives that promote staff wellbeing, mental health, dignity and respectful workplaces.
  • Coordinate awareness campaigns and activities relating to staff wellbeing and employee protection.
  • Assist in developing guidance materials and resources on duty of care and staff wellbeing.
  • Support organisational initiatives that foster an inclusive, respectful and supportive working culture.

 

5. Policy Development, Compliance and Governance

  • Assist in drafting, reviewing and updating people management, safeguarding and protection policies and procedures.
  • Monitor organisational compliance with internal policies, safeguarding standards and relevant regulatory requirements.
  • Support internal reviews, audits and compliance assessments relating to people management and safeguarding.
  • Maintain departmental documentation and knowledge management resources.
  • Prepare reports, presentations, briefing notes and management updates as required.
  • Support the rollout, administration and continuous improvement of the organisational grievance portal for staff, ensuring all Country Offices are fully onboarded and all employee grievance data is accurately captured, updated and maintained.

 

6. Capacity Building and Technical Support

  • Coordinate and facilitate training sessions, workshops and awareness programmes on people management, safeguarding and staff protection.
  • Develop learning materials, toolkits, guidance notes and technical resources.
  • Provide day-to-day technical support to Regional Development Coordinators and Country Offices under the guidance of the Lead.
  • Capture lessons learned, best practices and recommendations to strengthen organisational systems.
  • Build the capacity of Country Office staff on safeguarding policies, safeguarding case handling principles, and the effective use of organisational systems including the safeguarding case log, staff management portal and grievance portal.
  • Deliver training and refresher sessions to ensure consistent understanding and use of all safeguarding and HR-related digital platforms across all Country Offices.

 

 

 

7. Coordination and Communication

  • Liaise with Country Offices, Regional Development Coordinators and internal departments on matters relating to people management and protection.
  • Support departmental meetings, working groups and organisational initiatives.
  • Track implementation of agreed actions and provide regular updates to the Lead.
  • Build and maintain effective professional relationships with internal and external stakeholders.

 

8. Education

Essential

  • Bachelor's degree in Human Resource Management, Business Administration, Social Sciences, International Development, Psychology, Law or another relevant discipline.

Desirable

  • Professional certification in Human Resource Management, Safeguarding, Protection, Employment Law or a related field.

 

9. Experience

Essential

  • Minimum 2–4 years of relevant professional experience in Human Resources, People Management, Safeguarding, Protection, Compliance or Organisational Development.
  • Experience supporting organisational policies, systems and procedures.
  • Experience coordinating activities across multiple teams or locations.
  • Experience preparing reports, guidance documents and technical resources.
  • Experience organising or facilitating training sessions and workshops.
  • Experience managing or maintaining databases, HR systems, or organisational digital platforms is highly desirable.

Desirable

  • Experience working with an INGO or humanitarian/development organisation.
  • Experience supporting safeguarding systems or case coordination.
  • Familiarity with international safeguarding standards, accountability frameworks and good HR practices.

 

10. Knowledge

  • Sound understanding of people management principles and HR best practices.
  • Good understanding of safeguarding, protection and staff wellbeing within the humanitarian and development sector.
  • Knowledge of safeguarding case management principles and confidentiality requirements.
  • Understanding of organisational governance, compliance and policy implementation.
  • Familiarity with Core Humanitarian Standard (CHS), safeguarding principles and accountability mechanisms is desirable.
  • Understanding of HR information systems, case management systems, or digital grievance platforms is an advantage.
