Key Responsibilities:

1.      Provide comprehensive administrative support to the General Manager, including managing correspondence, screening phone calls, scheduling meetings, and making travel arrangements.

2.      Maintain the General Manager's calendar by scheduling appointments, meetings, and conferences efficiently, ensuring all relevant parties are informed and prepared.

3.      Act as the liaison between the General Manager and internal/external stakeholders, responding to inquiries, drafting correspondence, and relaying messages accurately and promptly.

4.      Assist in preparing and editing documents, presentations, and reports as required, ensuring accuracy and adherence to organizational standards.

5.      Handle sensitive and confidential information with discretion, maintaining the highest level of confidentiality at all times.

6.      Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items to ensure timely completion.

7.      Coordinate travel logistics, including booking flights, accommodations, and transportation, and preparing travel itineraries for the General Manager's trips.

8.      Assist in planning and organizing company events, conferences, and corporate functions, including logistics, venue selection, catering, and guest coordination.

9.      Manage the General Manager's expense reports, ensuring accurate tracking, reconciliation, and timely submission.

10.   Prioritize and manage multiple tasks simultaneously, demonstrating flexibility and adaptability to meet changing priorities and deadlines.

11.   Maintain organized filing systems and databases, ensuring easy access to information and efficient retrieval of documents when needed.

12.   Anticipate and proactively address issues or challenges that may arise, finding solutions and taking appropriate action to resolve them effectively.

13.   Work closely with other members of the administrative team and departmental staff to support organizational initiatives and projects as needed.

14.   Identify opportunities for process improvement and efficiency gains within the General Manager's office, implementing best practices and procedures accordingly.

Requirement

1.      Bachelor's degree in Business Administration, Secretarial Studies, or related field preferred.

2.      Proven experience as an executive assistant, personal assistant, or similar role supporting senior executives.

3.      Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.

4.      Strong communication skills, both written and verbal, with a professional and polished demeanor.

5.      Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

6.      Discretion and confidentiality in handling sensitive information and maintaining professionalism at all times.

7.      Ability to work independently with minimal supervision, as well as collaboratively within a team environment.

8.      Flexibility and adaptability to accommodate changing priorities and work demands.

9.      Attention to detail and accuracy in all tasks, with a commitment to delivering high-quality results.

10.   Strong problem-solving skills and the ability to anticipate needs and proactively address issues.

11.   Previous experience in a similar industry or organizational setting may be advantageous.
