Project Assistant

As Project Assistant at Shifa Foundation, you will provide administrative and logistical support to the Programs Department. You will assist in the preparation of program meetings and trainings, maintain documentation, manage communication with field teams, and coordinate with support departments to ensure the smooth implementation of project activities.

Responsibilities

Assist in preparing and organizing project meetings, workshops, and training sessions.
Maintain program documentation including hard and soft files.
Coordinate travel arrangements and logistics for project staff and HO team to project districts.
Draft the program calendar for meetings and events and ensure relevant teams are informed.
Assist in the completion of documents for procurement of project supplies.
Compile and document project data and field updates.
Provide administrative support to the Programs Department as required.
Follow up with the Finance Department to trace project-related payments.
Follow up with the HR & Admin Department to support field and program staff.
Collect case studies and success stories from the field teams.
Compile reports from the operations unit for weekly, monthly, and quarterly submissions.
Collect field pictures and maintain organized folders for reporting and documentation.
Take meeting minutes and ensure accurate documentation and distribution.
Submit financial expenses of the field team to the Finance Department.
Coordinate with field teams for updates and documentation.
Support the Programs Department in various administrative and field-related tasks.
