The PSO to Vice Chancellor plays a pivotal role in providing high-level administrative and executive support to the Vice Chancellor of the university. This position requires a highly professional individual with a master's degree from an HEC-recognized university and a minimum of 10 years of relevant experience within reputable public sector organizations, universities, government departments, autonomous bodies, or corporate organizations. The role demands excellence in managing complex schedules, preparing detailed communications, and coordinating critical interactions with senior executives, regulatory bodies, and government officials. A thorough understanding of university governance, higher education regulations, and official correspondence procedures is essential to ensure compliance and smooth operations across various institutional and governmental platforms. Proficiency in English and Urdu for both written and verbal communications is crucial for maintaining the high standards associated with this executive role. The successful candidate will manage a small team of two individuals, providing leadership and direction to support the efficient functioning of the Vice Chancellors office. The role involves advanced use of Microsoft Office Suite and virtual communication tools to handle digital record-keeping, meeting management, and office automation tasks effectively. A candidate with exceptional shorthand or typing skills, including English shorthand speed of 120 words per minute or typing speed of 40 words per minute, will thrive in this fast-paced and dynamic environment. Responsibilities

  • Provide comprehensive administrative support to the Vice Chancellor, including managing calendars, scheduling meetings, and coordinating official appointments with internal and external stakeholders.
  • Draft, review, and manage official correspondence in English and Urdu, ensuring accuracy, professionalism, and adherence to institutional and governmental standards.
  • Maintain detailed records and documentation related to university governance, regulatory compliance, and communications with government organizations and regulatory councils.
  • Coordinate with Higher Education Commission (HEC), federal and provincial ministries, and other regulatory bodies to facilitate smooth and compliant exchange of information and approvals.
  • Manage and supervise a team of two support staff, providing guidance, training, and workload distribution to ensure efficient office operations.
  • Prepare reports, presentations, and briefing materials for the Vice Chancellor, utilizing advanced features of Microsoft Word, Excel, PowerPoint, and Outlook.
  • Organize and facilitate virtual meetings and conferences using digital platforms, ensuring technical arrangements are seamless and inclusive.
  • Implement office automation tools and digital record management systems to streamline workflows and maintain data integrity and accessibility.
  • Exercise discretion and confidentiality in handling sensitive information and communications related to the universitys executive leadership.
  • Liaise with senior officials including Vice Chancellors, Rectors, CEOs, Secretaries, and equivalent officers to support decision-making and strategic initiatives.
  • Maintain up-to-date knowledge of policies, procedures, and protocols related to higher education institutions and public sector organizations.
