DUTIES & RESPONSIBILITIES

  • Build and maintain excellent relationships with our existing and all new suppliers.
  • Ensure that all materials are purchased at the most competitive rate.
  • Ensuring that deadlines and timeline expectations are met whilst keeping internal stakeholders informed and kept up to speed on process of orders.
  • Ensuring all stock levels are maintained to agreed minimum safety levels within the Production departments across the business. Coordinating with production and management as required.
  • Assisting in Projects, Supplier visits and departmental reporting.
  • Tracking deliveries and managing delays.
  • Minimise risk to the business in the event of supplier failure by identifying alternative suppliers.
  • Collaborate with key personnel to ensure clarity on material specification requirements.
  • Process orders and plan deliveries as per company requirements by reviewing weekly stock takes and formulating proposed order quantities for each product.
  • Raise purchase orders in SAGE for sign off and thereafter sending to suppliers.
  • Ensure order confirmations are received against each PO and that all details match.
  • Match purchase orders, order confirmations and delivery notes with supplier payment for sign off by GM.
  • Process all orders for new and replacement tooling and communicate with all departments accordingly;
  • Liaise with the design and data team in relation to custom size tooling and other website/back office amendments;
  • Escalate any discrepancies with stock (e.g. damaged/incorrect goods, poor quality etc) with suppliers and management;
  • Carry out all reasonable administrative and coordinating tasks relating to buying and research, testing and evaluation of new products e.g. raising purchase orders, recording goods in/out, recording expected delivery dates, processing orders in the company’s internal systems and keeping all departments informed;
  • Production Planning – allocating orders to machines, co-ordinating with other departments regarding delays, process, ensuring dispatch/production targets are met and liaising with production team to effectively plan
  • Provide holiday/absence cover for colleagues as and when required and carry out any other reasonable duties as instructed by the line manager.
  • Constantly look for efficiencies to ensure the company's purchasing costs are as competitive as possible.

Person Specifications – Abilities & Skills:

  • Detailed knowledge of purchasing administration.
  • Mathematically minded and ability to calculate appropriate tooling layouts and material widths.
  • Knowledge of the self-adhesive label industry would be desirable but not essential to the role as full training will be provided.

  • Good telephone manner & presence.
  • Excellent command of the English language, in written and verbal terms and good comprehension.

  • Good time management skills with the ability to work under pressure.

  • IT literate and able to use and/or learn standard and proprietary software and more specifically, proficient in use of Powerpoint, Word, Outlook, Excel.

Experience

  • Administrative Experience
  • Experience within the label industry is desirable.
