• Maintains systems for managing Administration, and Logistics efficiently in support of project objectives, and keeping in view ORGANIZATION guidelines and donor requirements
  • Managing and controlling inventories, including but not limited to receipt, assignment, and distribution of stock; warehousing and storage of equipment, materials, and supplies; fixed asset and capital asset registers and inventory checks
  • Manages all inventory control and warehouse operations and staff to ensure compliance with ORGANIZATION guidelines and standards, Ensures that records are maintained on logistical activities and inventories, in coordination with Finance and respective programs, This includes physical checks on the spot, guidance and training of relevant staff to achieve better results
  • Develops and implements standards and systems for transportation (Vehicles management) and the efficient use of vehicles and transportation services
  • Arrange Travel and Accommodation of the staff members/consultants/partners for field visits and as and when needed
  • Helps to foster and facilitate cooperative professional relations between and among staff at all levels, particularly in relation to the provision of transportation and logistical services.
  • Support CO, FO and project units of HDU / ICU for procurement of all office equipment, supplies and materials needed for project activities and ensure compliance with ORGANIZATION procurement guidelines
  • Must be familiar with the Procurement process involving pre-assessment, quotations from different vendors, Bidding and Billing process for timely purchases.
  • Develops and supervises correspondence/mail services including mailboxes, incoming and outgoing correspondence including internal memos and maintenance of mail register.
  • Keep track of all services contracts, make new service contracts and/or extensions as and when needed.
  • Maintenance of a good filing system to control admin files including but not limited to, internal and external correspondence, contracts, and appropriate subject files. Ensure confidentiality of sensitive files.
  • Ensures that office equipment’s are kept in optimum working order, through correct usage and periodic maintenance; negotiate maintenance and repair contracts,
  • Identifies appropriate office and staff housing facilities, as needed and requested; prepare contracts for the rental facilities as requested
  • Ensures the cleanliness and maintenance of HDU and ICU, housing, and office facilities oversees the supervision of HDU/ICU support staff including cleaners, drivers, cooks, gardeners, maintenance staff, and other contracted labours.
  • Must coordinate and cooperate with the CO and FO Admin, IT and logistics staff for timely delivery of all services including transportation, administration, procurement and accommodation.
  • Supervises and ensures that appropriate reception services are rendered i.e. visitors and callers are properly guided and directed. This includes guidance of reception staff to deal with all internal/external visitors and callers in a polite and dignified manner.
