We are looking for a detail-oriented and organized Admin Officer to join our team. The ideal candidate will have 3-4 years of experience in the pharmaceutical sector and demonstrate strong English communication skills. This role demands proficiency in MS Excel, Google Sheets, and basic HR tools. The Admin Officer will play a crucial role in maintaining company records, coordinating logistics, and supporting HR functions to ensure smooth and efficient operations within the organization. Preference will be given to candidates with relevant experience and those residing in Jhelum.
Key Responsibilities:
- Maintain company documents, files, and records in an organized and easily accessible manner.
- Coordinate meetings, travel arrangements, and logistics for field teams to support operational efficiency.
- Manage employee files, both physical and digital, ensuring accuracy, confidentiality, and compliance with company policies.
- Track employee leave, attendance, and absences, following up with sales and field staff to ensure timely and accurate reporting.
- Keep detailed records of all product samples issued and prepare a monthly Sample Conversion Sheet to monitor follow-ups, client feedback, and resulting sales. Submit these reports regularly to management.
- Prepare and submit weekly summaries and monthly HR/admin reports to management to keep leadership informed.
- Compile and submit Monthly Working Plans for all sales employees by the 29th of each month, ensuring plans are signed by the respective reporting supervisors.
- Finalize Monthly Incentive Calculations by the 2nd of each month, based on distributor sales data, to ensure accurate employee compensation.
- Submit Daily Feedback Reports, including doctor names, contacts, and products discussed, with supervisor signatures required daily.
- Maintain the Remarks Sheet, which must be signed daily by each employee and overseen by HR to track daily activities and concerns.
- Ensure daily activity logs, visit tracking, and reports are updated accurately and promptly to maintain operational transparency.
- Address any discrepancies or changes in reporting immediately to maintain data integrity and accuracy.
- Adhere strictly to all reporting and documentation requirements; failure to complete assigned tasks may result in salary deductions.
Required Qualifications:
- 3-4 years of relevant experience in the pharmaceutical market.
- Proficient in English with strong organizational and record-keeping skills.
- Good working knowledge of MS Excel, Google Sheets, and basic HR tools.
- Ability to manage multiple administrative tasks efficiently while meeting deadlines.
- Strong attention to detail and accountability in maintaining records and reports.
Preferred Qualifications and Benefits:
- Preference will be given to candidates who are residents of Jhelum and have prior experience in similar roles.
- This is a full-time, in-person position requiring commitment to office hours.
- Competitive monthly salary ranging from Rs. 55,000 to Rs. 65,000.
