Front desk Assistant will be the face of the organization and shall be responsible for addressing all queries, in person or via telephone in a courteous manner. FDA has to ensure that log book of couriers, inventory and grocery is properly maintained.

 

Position holder will be responsible for; 

1.         Deal with all enquiries in a professional and courteous manner, in person, on the telephone or via e-mail

2.         Welcomes visitors by greeting and directing them as required.

3.         Responsible for maintaining employee and department directories.

4.         Takes and delivers accurate phone messages, with call back numbers, area codes, and names written, and promptly relays messages to the proper person.

5.         Maintains security by following procedures; monitoring logbook; issuing visitor badges/cards.

6.         Maintaining monthly inventory list.

7.         Ensuring order that grocery, stationary and medicine are in stock.

8.         Responsible for drafting purchase orders for the inventory on monthly basis.

9.         Maintains telecommunication system for phone and console operation.

10.     Administer all appointment & cancellations and record them properly.

11.     Be involved and contribute as effective team member.

12.     Responsible for filing & faxing as well as typing specific documentation.

13.     Collecting and distributing postal mails, couriers or parcels.

14.     Maintains and properly organize reception area and inventory records.

15.     Maintaining the log books of goods and documents.

16.     Provide reports, as required, to supervisor.

17.     Always adhere to all company policies and procedures.

18.     Following current and prospective ISO Standards, policies and procedures

19.     Any other task assigned by supervisor.

21.   Managing Petty Cash expenses and share the dail expense report with your supervisor.

22.   Managing online web chat system, deal with the visitor queries

23.  Attending relevant meetings, take meeting minutes, provide necessary inputs, reports, presentation as and when required.

24.     Responsibilities and duties of the position holder can be modified according to the needs and requirements of the Company and work.

25.     Following current and prospective ISO Standards, policies and procedures.
