• Direct reporting to Reservations Manager and Managing Director.
  • Assist in training new reservation agents and managing team of approx. 8-10 members (FIT & Groups) according to company’s guidelines and standards.
  • Lead, encourage and support team to make sure that they are consistently able to provide excellence in customer service and that customer needs are met effectively.
  • Continuously maintain high standards of customer service with the aim of maximizing conversion to achieve objectives (room nights and revenue targets).
  • Ensure smooth and efficient running of the Reservations through prompt, effective and proper operations and clear communication between all departments, internally (Sales, Accounts, Contracting) and externally (with Suppliers and Agents):
  • Monitoring all the incoming enquiries and making sure that all emails, Skype and Whatsapp enquiries are allocated and dealt with in a timely and professional manner
  • Enquiries through Skype, Whatsapp are replied immediately
  • Communicating with the team and agents via WhatsApp outside of office hours for any urgent matters (last minute changes to the booking, complaints etc)
  • Allocated agent accounts are properly handled and enquiries replied to according to the agreed SLA’s
  • Dealing with travel agent requests, for both FITs and groups, finding operational solutions to all challenges
  • Being able to prioritize workload and demonstrate good organizational skills by finishing tasks within allocated time
  • All emails are replied on the same day
  • Responsible staff use all available recourse to get the best rate possible
  • Follow-ups are done to all important enquiries (long stays, suite bookings, multiple room and high revenue requests) and feedback is gathered
  • Arrival checks are done on daily basis with all bookings, services and special requests and billing instructions being reconfirmed with the suppliers (allocation of specific room /suite types, special requests – connecting/high floor/smoking rooms etc, methods of payment)
  • Liaise with Contracting and Sales regarding the company’s inventory - any unsold inventory (allocation) is being highlighted and communicated to the team in order to push sales
  • Handling complaints and special requests. Investigate and solve pre and post departure customer escalations and issues
  • Dealing with finance related matters, such as supplier prepayments, pro forma invoicing and commission
  • Establishing and maintaining good relationships with agents and suppliers
  • Being fully knowledgeable about the products, destinations and services offered by the company in order to appropriately deal with all enquiries,  and drive sales
  • Promoting company’s products and services to maximize sales opportunities
  • Run voucher report on daily basis to avoid any no-show charges
  • Prepare Reservations team monthly rota and ensure that office working hours (all days and shifts) are covered in line with company’s business needs.
  • Adhere to all company policies and procedures, review current processes, suggest improvements where necessary.
  • Monitor team’s performance and highlighting any possible areas of concern with suggested solutions and improvement plan.
  • Able to handle any other ad hoc responsibilities.
