Job Summary
We are seeking a detail-oriented and proactive Programme Support Officer to provide comprehensive administrative and logistical assistance in the formulation, management, and execution of various programmes. This role involves close collaboration with programme teams and partners to ensure smooth operational workflows, effective financial management, and timely reporting. The ideal candidate will demonstrate strong organizational skills, financial acumen, and the ability to support multiple stakeholders in a dynamic environment.
Key Responsibilities
- Provide essential administrative and logistical support throughout the lifecycle of programme formulation and management.
- Assist in preparing detailed programme work plans, budgets, and proposals, while tracking the allocation and delivery of funds to ensure financial compliance.
- Support executing partners by facilitating routine delivery and reporting of programme activities and financial data.
- Contribute to programme and project audits by assisting in audit processes and supporting the implementation of audit recommendations.
- Collect and compile relevant data and information to aid in the preparation of official documents, guidelines, speeches, and position papers in collaboration with the Programme team.
- Support financial management activities, including project setup in the Quantum system, budget revisions, financial monitoring, and preparation of financial documents such as FACE forms, non-PO vouchers, payment processing, requisitions, and goods receipt registrations.
- Organize logistical, administrative, and financial arrangements for meetings, workshops, events, and official missions to ensure smooth execution.
- Coordinate travel arrangements and process travel requisitions and claims for the Programme Team efficiently.
- Draft minutes of meetings as delegated, ensuring accurate and timely documentation.
- Assist in assembling briefing materials and preparing presentations in collaboration with team members to support programme activities.
- Manage filing systems and maintain updated mailing lists to enhance information accessibility and communication.
- Support resource mobilization efforts by organizing, compiling, and processing documentation from donors and the programme team.
- Facilitate knowledge building and sharing by organizing training sessions for office personnel and partners on programme and operational matters.
- Perform other duties as required to ensure efficient office functioning and programme support.
Required Qualifications
- Proficiency in computer applications, including multiple office software packages, is essential.
- Experience working with ERP systems, preferably Oracle Cloud, to support financial and administrative tasks.
- Strong team support skills with the ability to work collaboratively across departments and with external partners.
- Fluency in both English and Urdu, with excellent written and verbal communication skills.
- Demonstrated integrity, professionalism, and respect for diversity, including gender sensitivity.
- Ability to exercise accountability, creative problem-solving, effective communication, and inclusive collaboration.
