Job Summary
We are seeking a detail-oriented and proactive Procurement Specialist to manage the sourcing, ordering, and inventory control of supplies and materials essential for our retail stores. This role requires close coordination with suppliers and internal teams to ensure timely delivery, cost efficiency, and compliance with company policies. Key Responsibilities
- Source and order supplies and materials necessary for retail store operations, ensuring inventory levels meet demand without excess.
- Coordinate with suppliers by negotiating terms, monitoring stock levels, and ensuring timely delivery of orders.
- Receive and review purchase requisitions submitted by various departments to confirm accuracy and necessity.
- Evaluate vendor quotations carefully, considering price, quality, service, and delivery schedules to select the best suppliers.
- Place purchase orders and track them through to fulfillment, maintaining strict adherence to budget constraints.
- Work closely with inventory teams to maintain optimal stock levels, preventing both shortages and overstock situations.
- Address and resolve any supplier-related issues, including delays, quality concerns, or pricing discrepancies, to maintain smooth operations.
- Maintain accurate and up-to-date procurement records, including purchase orders and supplier information, ensuring data integrity.
- Prepare and submit detailed procurement reports and cost analyses to support decision-making and budget management.
- Ensure all procurement activities comply with internal policies as well as relevant external regulations.
- Collaborate with the finance department to facilitate timely invoice processing and payment to suppliers.
- Continuously identify opportunities to reduce costs and improve the efficiency of the supply chain.
Required Qualifications
- Proven experience in procurement or supply chain management, preferably within a retail environment.
- Strong negotiation and communication skills to effectively manage supplier relationships and internal stakeholders.
- Proficiency in Microsoft Excel for data analysis, reporting, and inventory tracking.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines under pressure.
