Job Summary
We are seeking a highly organized and proactive Executive Assistant to support the CEO by managing a dynamic calendar, coordinating meetings, and handling a variety of administrative tasks. This role demands exceptional communication skills, meticulous attention to detail, and the ability to manage multiple priorities efficiently. Key Responsibilities
- Manage and coordinate the CEO’s calendar, including scheduling meetings, appointments, and follow-ups to optimize time and productivity.
- Prepare detailed schedules, meeting briefs, agendas, and presentations to support executive decision-making.
- Monitor deadlines, deliverables, and project timelines across various departments to ensure alignment and timely completion.
- Plan and organize both domestic and international travel arrangements, including flights, accommodations, and transportation logistics.
- Develop comprehensive travel itineraries, cost plans, and budgets utilizing Google Sheets for accurate tracking and expense management.
- Coordinate logistics for both business and personal schedules, ensuring smooth transitions and minimal disruptions.
- Prepare concise and clear reports, meeting summaries, minutes, and action item lists to facilitate effective communication and follow-up.
- Act as a liaison to facilitate timely communication and follow-ups with internal teams and external stakeholders.
- Maintain an organized filing system for both physical and digital documents, ensuring easy retrieval and confidentiality.
- Uphold the highest standards of professionalism and confidentiality in all communications and interactions.
Required Qualifications
- Strong written and verbal communication skills, capable of drafting clear and professional correspondence and reports.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications (Sheets, Docs, Calendar, Gmail).
- Exceptional organizational skills with the ability to multitask and prioritize effectively under pressure.
- Keen attention to detail, ensuring accuracy in scheduling, reporting, and document management.
