Job Purpose (Why this job exists):

  • To handle travel desk operations (boarding/lodging/pick and drop service/visa/foreign currency) across the board 24/7, for Senior Management, employees and guests.

Key Accountabilities:

  • Responsible to arrange and coordinate with the vendor for air tickets and room reservations (Domestic & International) for employees/Senior Management.
  • Responsible to arrange pick and drop facility (Domestic & International) for employees/Senior Management.
  • Responsible for processing visa application(s) for employees/Senior Management.
  • To arrange Foreign Currency in coordination with the Finance Department in case of foreign tours of employees.
  • Responsible to arrange the stay of internal/external trainer(s) and outdoor arrangements (if any) for HR Training Sessions.
  • Responsible for outdoor arrangements related to Annual General Meetings.
  • Responsible to verify hotel /air ticket invoices and arrange their payments accordingly in coordination with the Finance Department.
  • Responsible to resolve any issue arises during traveling of employees.
  • To maintain monthly MIS of traveling/hotel booking.
  • Responsible to collect Tax Challan of hotels.
  • Responsible to assist in Audit(s) and to implement ISO 9001 systems in the department.
  • Responsible to assist in Audit(s) and to implement WWF green Office systems in the department.
  • Responsible to arrange Diesel for Generators at Lahore Offices.
  • Responsible for the scrutiny of reimbursement expenses.
