Admin Responsibilities:

  • To act as the company receptionist by phone and in person
  • To ensure that duties allocated to office boys and sweepers are completed to the required standards and as per the given schedule.
  • To report back any issues to the Director.
  • To manage company expenditure and maintain accurate records of all expenses.
  • To manage the office inventory and request supplies as an when required.
  • To prepare monthly invoices for supplier(s)
  • To carry out PA duties for the Director e.g. scheduling meetings, diary management, minute taking etc
  • Completing miscellaneous administrative tasks as advised by the Director.
  • Any other reasonable duties as requested by the line manager.

HR/Payroll Responsibilities:

  • To process monthly payroll from start to finish including processing information for new starters and leavers, salary reviews etc ready for the Director’s review.
  • To be the first point of contact for all payroll and absence related queries.
  • To maintain an accurate record of employee absence (sickness and leave) and remaining leave allowance as directed by the HR Manager and / or Director.
  • Ensure effective administrative monitoring of sickness trends and remedial action in accordance with AA Web Solutions policy and to facilitate absence management to ensure a smooth return to work.
  • Administering the recruitment process from start to finish when required and as advised by the HR Manager. Carrying out telephone interviews and completing initial screening of candidates.
  • Providing support in ensure all employee records are up to date (legal compliance)
  • Undertake any other reasonable duties as directed by the HR Manager and / or Director.

  • Proactive, approachable, willing to provide support where required and work with a positive team spirit rather than an individualistic attitude.
  • Adaptable and dynamic with the ability to learn systems and processes quickly
  • Exceptional communication skills.
  • Experience with basic principles of HR and Administration
  • Exceptional organizational abilities
  • Proficient user of MS Office
  • Excellent numeric skills with the ability to create and analyze reports, spreadsheets and sales statistics.
  • Natural interpersonal and communication skills
  • Problem-solving attitude
