Background

Accomplished System Operations (Private) Limited (ASO Limited) is a registered service providing company. Major services provided to the clients include: Transportation services, Protocol services, Human Resources, Property services, IT and Communications services, Accounting services, Financial management services in support of projects and Security, Management services & Project Management services.

We are looking for a candidate in Peshawar and Lahore to provide Administration and Logistics support to one of our international management client who starts its operation in both cities.

Activities

Work to ensure (Peshawar / Lahore) office facilities are sufficiently scaled to meet the requirements of the technical team.

Collate, classify and consolidate information in (Peshawar / Lahore) offices to enable referencing and sharing and ensure the whole team can access all relevant documents.

Manage/oversee Project Office records: personal files, property inventories, etc.

Act as administration lead to the (Peshawar / Lahore) Office,

Undertake/manage a variety of day-to-day administrative tasks as required.

Update the record on weekly and monthly basis as per company policy.

Staff Management/Recruitment:

Manage project drivers, cleaners and other support staff.

Maintain the daily staff attendance sheet for all ASO offices, and coordinate leave requirements.

Produce documents for and maintain records of local office staff employment including letters of appointment, contracts, payroll, taxes and wages; leave records, etc.

Manage the ‘project diary’ including updating contact lists, in-country lists, notification of advisor visits etc.

Provision of logistical support for staff meetings in the (Peshawar / Lahore) office and districts by arranging refreshments, attendance sheet and equipment

ASI Staff Houses & Office Management

Carry out weekly checks on office property in (Peshawar / Lahore) to ensure maintenance and staffing issues are being addressed.

Maintain accurate service records and ensure that all equipment, such as generators and air-conditioning units are being serviced correctly and regularly.

Manage and coordinate the purchasing of office stationary.

Ensure fixed assets list related to (Peshawar / Lahore) is updated and that unused assets are disposed in the correct manner.

Fleet Management

Ensure that all cars are being used according to ASO transport policy.

Ensure that drivers are following the relevant SOPs and carrying out their weekly checks,

Manage the journey management plans for (Peshawar / Lahore), plus coordinating requirements with other offices.

Capture and update Fuel and Km reading for (Peshawar / Lahore) offices on a weekly basis.

Financial Management

Support the Director comply with ASO’s financial processes,

Manage the daily financial aspects of the project including:

·         Petty cash;

·         Oversee office procurement in a transparent and competitive process.

·         Verification of logbook in cars.

·         Verification of overtime of support staff.

·         Provide support to staff members in claiming medical insurance from Islamabad office.

·         Submitting requests for payment in a timely manner.

Other duties as specified by the Director, Manage static guards as per contract and liaison with security advisor.

Oversee arrangements for advisors arriving in/departing Islamabad, including accommodation & transport arrangements from Security Company.
