Assignment

The Archive Assistant, reporting directly to the Country Finance Manager, safeguards ACTED documents by:

Digitizing them: Scanning all ACTED paperwork to create high-quality digital files.
Ensuring their accessibility: Uploading all digital copies to the designated Internal Archives System, making them readily available for future reference.

Maintaining organization: Implementing a filling structure within the Internal Archives System to ensure ACTED documents can be easily located.

Main Responsibilities :

1. Scanning ACTED documents: Converting physical copies of Coordination, Finance, Program, MEAL, Education, Procurement, Logistic, Project, Security departments, etc (ACTED) documents into digital files using a document scanner.

2. Uploading digital ACTED documents: Transferring the scanned ACTED documents to a designated archival storage system for safekeeping and future reference.

3. Maintaining a digital filing system: Organizing the uploaded ACTED documents within the archive system using a logical and consistent structure for easy retrieval.

4. Applying metadata: Assigning relevant keywords to each uploaded document to facilitate searching and filtering based on content.

5. Preserving physical documents (if applicable): Following established procedures for storing and caring for the original ACTED documents to prevent damage or loss.

6. Quality control: Ensuring the scanned digital copies are clear, legible, and complete before uploading.

7. Data backup and security: Participating in procedures to back up archived data and maintain a secure digital storage environment.

8. Reporting: Preparing reports summarizing the number of documents scanned, uploaded, and any encountered issues that require attention (depending on workflow).

I will not engage in any PSEAH violations and will ensure team working under my supervision will also follow the same protocols. I shall not be involved in any sexual exploitation or abuse. I shall ensure to comply with the highest standards of moral and ethical conduct. Any incident of SEA shall be reported to Acted. Any failure by myside to take preventive measures against sexual exploitation or abuse, or to investigate allegations or take corrective action, shall constitute grounds for termination of the Agreement.

For the purposes hereof, the following definitions shall be used.

Sexual exploitation means any actual or attempted abuse of a position of vulnerability, differential power, or trust, for sexual purposes, including, but not limited to, profiting monetarily, socially or politically from the sexual exploitation of another.

Sexual abuse means the actual or threatened physical intrusion of a sexual nature, whether by force or under unequal or coercive conditions

In recent years this has included support for communities affected by floods, earthquakes and the complex emergency; Pillar 2 – Income generation and sustainable livelihoods – ACTED has extensive experience in this sector including market-oriented vocational trainings, basic skills development, as well as on and off-farm livelihood assistance; Pillar 3 – Social cohesion and access to basic services – ACTED improves access to basic services through a range of measures including support for educational institutions, community infrastructure and local governance. Social cohesion is a key component to ensuring equitable service provision. ACTED’s interventions include the establishment of local representation bodies as well as supporting the rights of women, minorities and marginalized groups; Pillar 4 – Environmental protection and community resilience – This pillar aims to mitigate some of the effects of recurrent disasters, climate change and environmental degradation.
