Job Nature: Fixed Term – 9 months (Mar – Nov 2020)

Line Management

The Receptionist / Fleet Coordinator reports to and works under the supervision of the Office Manager and Head of Operations.

Key Responsibilities

  • Manage the staff and associates contact list. Prepare and submit movement sheet, Fuel & KM sheet and international arrival sheet to relevant team member on weekly basis.
  • Maintain accommodation log for corporate staff house and consultant accommodation, and calendar marking of PMs on monthly basis.
  • Prepare driver’s duty roaster. Manage timesheet and overtime of support staff and submit to HR on monthly basis.
  • Manage vehicle maintenance record and verify fuel bills on monthly basis. Ensure all vehicles are being maintained and drivers are following ASO’s transport policies.
  • Manage logistics for office meeting and maintain attendance record. Responsible for office stock like stationary, toners, grocery etc.
  • Responsible for the maintenance of corporate staff house, consultant accommodation and Islamabad office.
  • Manage the security clearance of office visitors and provide them access to office. Also, coordinate security clearance for diplomatic enclave.
  • Other duties as specified by the Line Manager and Project Manager, and over the course of this assignment these terms of reference may change which could require the staff member to adapt the scope of work and be flexible in the delivery of said work.

Skills and Qualifications Required

  • Qualification: Bachelor’s in business administration and any other related discipline.
  • Experience: 3 to 5 years working experience in fleet management, front desk handling and logistical support, alongside a basic understanding of internal controls and Information Technology.

Required Skills:

  • Good written and verbal use of the English language (this will be tested during the selection process).
  • Strong interpersonal skills and the ability to build a strong, trusting and productive working relationship with both clients and colleagues.
  • Proficient in MS Office (Word, Excel, PowerPoint, and Outlook) especially in Excel.
