An established UK security company is seeking a dedicated HR & Administration Officer to oversee comprehensive human resources and administrative functions. This role involves supporting recruitment, onboarding, employee relations, training coordination, and maintaining accurate records to ensure smooth operations across the security workforce and office staff. The successful candidate will collaborate closely with management and operations teams to uphold compliance, facilitate staff development, and provide essential administrative support in a fast-paced environment.

Key Responsibilities

- Manage daily HR and administrative activities for security officers, supervisors, and office personnel.
- Support recruitment by preparing job advertisements, reviewing applications, shortlisting candidates, arranging interviews, and coordinating onboarding processes.
- Coordinate employee induction, including employment documentation, uniform allocation, and deployment details.
- Maintain detailed records of employee training, qualifications, refresher courses, first aid certifications, and other compliance documentation.
- Monitor staff attendance, sickness absence, annual leave, lateness, overtime, and related workforce management matters.
- Collect and verify weekly and monthly timesheets and attendance records before payroll submission.
- Assist with payroll administration by reviewing working hours, overtime, holiday, sickness, and other payroll-related data.
- Respond promptly to employee queries concerning contracts, working hours, holidays, absence, payroll, policies, and general HR issues.
- Support management in disciplinary and grievance procedures, ensuring accurate documentation and record-keeping.
- Prepare employment contracts, offer letters, confirmation letters, warning letters, and other HR correspondence as needed.
- Assist with performance management processes, including probation reviews, staff meetings, and employee development initiatives.
- Coordinate staff training programs and maintain training schedules to meet company and client requirements.
- Liaise with Operations Managers regarding staff availability, vacancies, attendance, deployment, and employee performance.
- Maintain records of uniforms, ID cards, keys, equipment, and other company property issued to employees.
- Assist in preparing employee and compliance documentation for client audits and internal reviews.
- Provide administrative support to senior management and operations teams, including managing emails, telephone enquiries, correspondence, filing, scanning, photocopying, and general office administration.
- Create and maintain spreadsheets and databases for employee information, attendance, licenses, training, holidays, and compliance tracking.
- Prepare HR reports, staff lists, attendance reports, training records, and other management information as required.
- Handle sensitive employee and company information with a high level of confidentiality.
- Liaise professionally with employees, clients, training providers, suppliers, and external organizations.
- Ensure HR and administrative records are accurate, organized, up to date, and easily accessible.

Required Qualifications

- Proven experience in HR and administration, preferably within the security or related industry.
- Strong knowledge of recruitment processes, employee relations, and payroll administration.
- Excellent organizational skills with the ability to manage multiple tasks efficiently.
- Proficiency in maintaining accurate records and preparing detailed reports.
- Effective communication skills to liaise professionally with staff, management, and external stakeholders.
- Ability to handle confidential information with discretion and integrity.
- Competence in using office software, including spreadsheets and databases.
