This position demands strong organizational skills, attention to detail, and the ability to juggle multiple priorities simultaneously. The Project Coordinator updates job statuses in real time and coordinates re-scheduling when issues arise. The role requires fluent English communication across multiple platforms including phone, email, and internal messaging apps. Additionally, the Coordinator must produce comprehensive daily and weekly reports highlighting job completions and potential issues, thereby supporting management decisions. Training is provided, and the work schedule aligns with UK hours to foster seamless collaboration across teams. Overall, this role is essential for operational success, requiring a disciplined approach to documentation and reporting that directly impacts invoicing, audits, and client satisfaction.
Responsibilities

  • Schedule and allocate daily jobs to field engineers based on instructions from the delivery manager, optimizing resource utilization and meeting project timelines.
  • Update job statuses in real time on internal systems and client portals to ensure transparency and accurate tracking of project progress.
  • Communicate daily work plans to field engineers, confirming attendance and start times to coordinate smooth field operations.
  • Maintain continuous contact with field engineers throughout the day to monitor job progress, log updates promptly, and address emerging issues.
  • Coordinate with field staff and clients to reschedule jobs encountering delays, access issues, or other blockers, minimizing disruption to project schedules.
  • Serve as the primary communication link between field engineers, clients, and internal management, relaying job updates, completions, and issues promptly and professionally.
  • Respond to routine client queries regarding job statuses and progress, providing clear and courteous communication to maintain strong client relations.
  • Escalate disputes, significant delays, or high-risk issues to management instead of resolving such matters independently, ensuring appropriate handling.
  • Collect and verify job evidence from engineers, including photos, notes, and completion records to maintain the integrity and completeness of project documentation.
  • Maintain and update accurate, detailed job records, trackers, and spreadsheets, ensuring all documentation complies with company standards before job closure.
  • Organize all job documentation to ensure easy retrieval for audits, invoicing, client queries, and other operational needs.
  • Prepare and distribute routine daily progress updates to clients and management, ensuring all stakeholders are informed of current project status.
  • Compile comprehensive end-of-day and weekly reports detailing job completions, ongoing tasks, and outstanding work, while highlighting recurring issues or productivity challenges.
  • Support the delivery manager with ad-hoc reports and data analysis to facilitate decision-making and continuous process improvement.
  • Apply strong attention to detail and follow-up rigor in chasing missing evidence or data from field engineers, safeguarding the accuracy and completeness of project records.
  • Work reliably and independently within a remote, full-time UK shift environment while managing a small team of three individuals, ensuring team coordination and task fulfillment.
