STORE OFFICE COORDINATOR

It seeks sustainable solutions to long-term problems of poverty, hunger, illiteracy and ill-health with special emphasis on the needs of rural communities in mountainous and other poor resource regions, primarily in Asia, Africa and the Middle East. Its main areas of focus are education, health, rural development, environment and strengthening civil society.

The Aga Khan Foundation (Pakistan) [AKF(P)] is seeking a high calibre professional for the following position to be based in Islamabad, Pakistan.

BACKGROUND

The Aga Khan Helicopter Operations is primarily a Helicopter service in Pakistan providing Humanitarian Relief, Medical Support, VIP Transport and providing support to partner organizations for passenger movement.

It started its service back in 1987, with two Bell 412 Helicopters. Current operations are based on AW-139 Helicopters only. The Operation’s Hangar is based in Nurkhan base, Rawalpindi with 02 Helicopters presently. The position will report to Maintenance Manager working in close coordination with other Licensed Engineers, Pilots and Safety Manager to help in Inventory management and customs coordination.

KEY RESPONSIBILITIES

The main roles and responsibilities include but are not limited to:

Store & Inventory Management

  • Preparation of Purchase Order: Prepare purchase order for spare parts, tools and other equipment and place order to specified suppliers.
  • Receive and Inspection: On arrival of spare parts, tool or equipment inspect the incoming shipment, against purchase order, delivery note and invoices.
  • Warehouse Organization: efficiently use store space safely and item traceability/ accessibility.
  • Record Keeping: maintenance of records, material movement and inventory keeping using Total Management System (TMS) and Invoice, packing list.
  • Oversight: conduct physical audit of stock and reconciliation of inventory discrepancies and ensure safety standards to prevent damage etc.
  • Parts Identification: Be able to identify Aircraft Part Numbers and Serial Numbers.

Logistics & Fleet Coordination

  • Plan and schedule incoming and outbound transportation routes for spare parts, and tools for calibration etc.
  • Liaise with approved custom clearing agents for reliable services.
  • Track of shipment progress and resolve any transit delays, custom issues or documentation errors.
  • Prepare all documentation for incoming and outgoing shipment including packing list, invoices and custom declaration.
  • Optimize the logistics system for spare parts and tools calibration within the AKF helicopter operation.

ELIGIBILITY & QUALIFICATION CRITERIA

  • Education Must have a bachelor’s degree in Supply Chain Management, Logistics or Business Administration.
  • Medical Fitness: Must have normal colour vision (No colour blindness). Fitness to work in Confined areas and Height. Must be able to pass initial medical fitness.

EXPERIENCE

Fresh graduates are encouraged to apply.

  • Previous experience in Aviation Store, supply chain coordination and Logistics will be preferred.

COMPETENCIES

  • Aviation Regulations: Familiarity with aviation safety standards, specifically from agencies like the EASA and IATA and EASA Form 1. (Preferred)
  • Store management: Skill in managing inventory, Record keeping and handling aircraft parts of EASA approved Store under Part 145 (Preferred)
  •  Customs : Familiarity with Import and Export Regulations of Aviation procurement. (Preferred).
  • General Tool : Safe handling of diagnostic tool kits, and precision measuring devices. Advanced working knowledge of MS Excel, MS Word and database management. Specialized Software TMS training will be provided. (Must)
