The Asset & Lease Manager will be responsible for overseeing the administration of a multi-site U.S. retail lease portfolio. This role involves abstracting leases, tracking critical dates, verifying landlord charges before payment, and recovering any overbilled CAM and tax charges. The position requires meticulous attention to detail and strong organizational skills to ensure lease compliance and financial accuracy across multiple retail locations.
Key Responsibilities
- Abstract every executed lease and amendment into the lease database, capturing all essential terms such as rent, escalations, CAM/tax/insurance provisions, options, notice periods, exclusives, and co-tenancy clauses.
- Maintain a critical date calendar covering options, renewals, termination rights, tenant improvement deadlines, insurance renewals, and estoppels, providing timely advance notifications.
- Organize and file leases, amendments, estoppels, Subordination, Non-Disturbance and Attornment agreements (SNDAs), and consents, maintaining a well-indexed digital lease repository.
- Set up rent records at lease commencement and keep escalations, amendments, and abatements current and accurate.
- Validate all monthly landlord billings—including base rent, CAM, tax, insurance, and percentage rent—against lease terms before payment, and prepare payment files for Accounting.
- Manage outsourced CAM and tax audits by reviewing findings against lease terms and tracking approved claims through to credit or refund.
- Review year-end reconciliations promptly and correct any discrepancies.
- Track real estate tax bills and assessments, verify pro-rata shares, and identify candidates for tax protests.
- Issue and maintain certificates of insurance for each location in compliance with lease requirements.
- Monitor landlord obligations and notify landlords when obligations are unmet.
- Maintain W-9 forms, landlord and property manager records, and payment instructions, ensuring verified controls over banking changes.
- Support franchisor and lender requests for consents, estoppels, and reporting.
- Serve as the primary contact for property managers regarding statements, reconciliations, certificates, and related documents.
- Prepare and file tenant improvement (TI) allowance draw packages and track disbursements through to receipt.
- Support back-charge claims and manage portfolio events such as store closures, relocations, assignments, and subleases.
- Ensure the lease database remains accurate and generate recurring reports including critical dates, rent rolls, occupancy costs, audit savings, and insurance compliance.
- Develop and maintain standard operating procedures (SOPs), and assist in defining, training, and supervising future associate roles.
Required Qualifications
- Minimum of 4 years’ experience in U.S. retail or commercial lease administration, lease accounting, or property accounting, preferably managing multi-site portfolios.
- Strong ability to read and accurately abstract U.S. shopping-center leases, including CAM, tax, and insurance pass-throughs, caps, exclusions, options, and notice requirements.
- Working knowledge of CAM and real estate tax reconciliations, with the ability to identify improper charges and confidently address issues with landlords or audit firms.
- Experience managing certificates of insurance aligned with lease-specific requirements.
- Advanced proficiency in Excel.
- Excellent written and verbal English communication skills for professional correspondence with U.S. landlords and property managers.
- Exceptional accuracy, follow-through, and comfort managing a deadline-driven calendar where missed dates can have significant financial consequences.
Preferred Qualifications and Benefits
- Bachelor’s degree in Accounting, Finance, Real Estate, Business, or Law is preferred.
- Experience with lease administration platforms, e-signature tools, and ERP/AP systems is advantageous.
- Prior exposure to supporting a growing portfolio involving new store openings and tenant improvement collections, or experience working remotely with a U.S.-based team, is a plus.
This full-time role operates Monday through Friday on a night shift schedule. Candidates must have access to a computer or laptop with a webcam and reliable high-speed internet.
