The role involves managing comprehensive domestic and international travel arrangements for employees, management, healthcare professionals (HCPs), and approved business groups. This includes organizing travel logistics for conferences and congresses, ensuring adherence to company policies and budgets, coordinating with travel service providers, negotiating commercial travel agreements, and maintaining precise travel documentation for audit and financial reconciliation purposes.
Key Responsibilities
Travel Operations and Event Management:
Oversee all aspects of domestic and international travel, including flights, accommodation, transportation, visas, and on-ground logistics for employees, management, HCPs, and business groups. Manage travel arrangements related to conferences, events, and group movements, ensuring smooth and timely execution.
Policy Compliance and Cost Control:
Ensure all travel activities comply with internal policies, approval processes, budgets, and regulatory requirements. Monitor travel expenditures, optimize costs, and identify opportunities for savings without compromising service quality.
Vendor and Stakeholder Management:
Collaborate closely with Travel Management Companies (TMCs), airlines, hotels, visa agencies, destination management companies (DMCs), transport providers, and event organizers. Negotiate commercial terms and maintain strong relationships to guarantee seamless travel services.
Visa and Immigration Coordination:
Manage visa processing and immigration requirements by liaising with embassies, consulates, visa centers, and authorized service providers. Ensure timely submission and approval of all necessary travel documentation.
Documentation and Reporting:
Maintain accurate records of travel bookings, approvals, invoices, and supporting documents. Prepare reports for audit, compliance, and financial reconciliation purposes, ensuring transparency and accountability.
Required Qualifications
- Bachelor’s degree (B.A. or equivalent).
- 4 to 12 years of relevant experience in travel operations, event travel management, and visa/immigration processes.
- Strong knowledge of travel policies, compliance standards, and vendor management.
- Proven ability to manage travel budgets, negotiate commercial agreements, and optimize travel-related costs.
- Proficiency in MS Office applications.
- Excellent English communication and interpersonal skills.
