Assistant Procurement Manager

This role involves managing the end-to-end procurement process to ensure timely acquisition of quality goods and services at the best possible prices. The candidate will support the preparation and evaluation of requests for proposals (RFPs), quotations, and bids while ensuring full compliance with organizational policies and regulations. Maintaining accurate procurement records and assisting in market analysis to optimize purchasing decisions are key aspects of this position. Additionally, the role includes supporting contract management, logistics, inventory functions, and budget preparation, along with generating procurement reports and monitoring payment processes.

Key Responsibilities

- Process purchase requisitions and purchase orders efficiently and accurately.
- Assist in preparing RFPs, receiving quotations, bids, or proposals, and participate in the evaluation and negotiation of contract terms in compliance with relevant rules and regulations.
- Maintain comprehensive procurement files to support internal and external audits.
- Monitor and forecast demand levels to ensure procurement aligns with organizational needs.
- Support the Procurement Manager in conducting market analysis to secure the best purchasing deals.
- Track requisitions and purchase orders, ensuring databases are regularly updated.
- Ensure timely delivery of quality goods at competitive prices.
- Assist in managing service contracts and oversee logistics and inventory functions.
- Contribute to the preparation of the procurement budget.
- Prepare detailed procurement reports, spend analyses, and management dashboards.
- Assist in compiling and maintaining supporting documentation for payment execution and monitor payment statuses.

Required Qualifications

- A minimum of 4 to 5 years of relevant work experience in procurement or supply chain management.
- MBA or Bachelor’s degree in Supply Chain Management, Procurement, Business, Engineering, or a related field.

Preferred Qualifications

- Experience working within social sector or nonprofit organizations is highly desirable.
