This role involves managing the end-to-end procurement process to ensure timely delivery of quality goods and services at competitive prices. The incumbent will support the preparation and evaluation of requests for proposals, maintain procurement documentation for audits, and assist in market analysis to secure the best purchasing deals. Additionally, the position requires monitoring demand forecasts, managing logistics and inventory functions, and preparing procurement budgets and reports to support organizational goals.
Key Responsibilities
- Process purchase requisitions and purchase orders accurately and efficiently.
- Assist in the preparation of Requests for Proposals (RFPs), receive quotations, bids, or proposals, and participate in the evaluation and negotiation of contract terms in full compliance with applicable rules and regulations.
- Maintain comprehensive procurement files to support both internal and external audits.
- Monitor and forecast upcoming demand levels to ensure procurement aligns with organizational needs.
- Support the Manager Procurement in conducting market analysis to identify the best purchasing opportunities.
- Ensure proper tracking of requisitions and purchase orders, updating the procurement database regularly.
- Take responsibility for the timely delivery of quality goods at the best possible prices.
- Assist in managing service contracts to ensure compliance and performance standards.
- Oversee logistics and inventory management functions to optimize supply chain efficiency.
- Contribute to the preparation of the procurement budget, ensuring alignment with financial plans.
- Prepare procurement reports, conduct spend analysis, and develop management dashboards to provide insights into procurement activities.
- Assist in preparing and maintaining supporting documentation for payment execution and monitor payment status to ensure timely settlements.
Required Qualifications
- A minimum of 4 to 5 years of relevant work experience in procurement or supply chain management.
- Bachelor’s degree or MBA in Supply Chain Management, Procurement, Business, Engineering, or a related field.
Preferred Qualifications
- Experience working in the social sector or nonprofit organizations is highly desirable.
