Job Summary:

Responsible for working in the Project Management Office & Planning Integration Department with the objective of ensuring all projects are delivered using a ‘best-practice’ Project Delivery Approach and are delivered within the agreed scope, time, cost and quality.

This role will be require providing expert knowledge and support in monitoring progress and reporting on the portfolio status. Below are expectations of the work from the resource:

  • Clear understanding of Project management methodologies. Have a history of working on the SAP S4 Hana Project Management
  • Work with the PMO manager to develop the IT Project Standards guide, seeking contributions from Project Managers to ensure that the Standards meet best practice
  • Work with PM’s for project documentation
  • Build up a repository of project templates both technical and management to support the Project Managers – use examples from current and past projects to identify best practice
  • Manage communications from the PMO mailbox including regular reporting cycle requests.
  • Prepare consolidated material from project reports for Bi weekly/monthly review
  • Work with PM’s Supporting the definition of small/medium project scope, goals, deliverables, costs, timescales, plans, dependencies, resource requirements and milestones
  • Assist Prepare project plan, charter and work breakdown structure
  • Report and escalate to management as needed.
  • Analyze the actual performance and adherence against the planned activities.
  • Keep all stakeholders informed of progress and issues
  • Good in Excel & PowerPoint slide preparation
  • Analyzing and updating of Financial data with a background in budgeting (CAPEX & OPEX)

PMO Management

  • Contribute to the delivery of the SAP S4 Hana Project
  • Manage the day-to-day activities in the Project Management Office (PMO)
  • Manage the administration for project submissions and approvals through the agreed prioritization and approval process, maintaining a pipeline of approved projects
  • Collate qualitative and quantitative information on project performance for the preparation and production of project reports for internal management purposes
  • Work closely with teams (as well as internal and external project partners where appropriate) to devise, develop and deliver appropriate reports to evaluate key activities at a project level 10%

Project Delivery

  • Ensure detailed project, implementation or actions plans are created for the duration of each project as appropriate by Project Managers
  • Ensure projects have requirements documented and agreed to ensure that project activity meets agreed project objectives
  • Ensure monitoring of progress against all projects is timely and accurate and enables Sponsors and stakeholders have visibility and sufficient information to make the required decisions
  • Ensure risks, issues and dependencies are being recorded, monitored and proactively managed to minimize disruption to successful delivery
  • Participate in project reviews, approvals, and gating processes
  • Ensure the appropriate and relevant level of testing is in place for all projects e.g. system, regression, UAT with stakeholder sign-off as part of the gating process
  • Produce agreed levels of Portfolio reporting on all projects being delivered or within the oversight of the PMO
  • Deliver an effective and timely schedule of project communications liaising with the relevant Sponsors and stakeholders including the Communications Team 50%

Project Delivery Approach

  • Be an advocate of the organizations Project Delivery Approach
  • Own the PMO central repository of documentation and processes including the PM Toolkit
  • Ensure standardized and relevant document templates are available from a central repository for both the PMO and business project team members
  • Facilitates sharing of best practices through informal communities of action, PMO collaboration and/or formal training sessions to enable a consistent approach across all projects
  • Encourage knowledge transfer and lessons learnt activities within the PMO and business project teams to drive best practice 20%

Financials & Benefits Realization

  • Ensure a robust process of notification or escalation is in place to report on both underspend and potential overspend with the appropriate approvals sought for either situation
  • Ensure post project reviews are in place and include lessons learnt exercises which identify both positive and negative outcomes to be actioned

The Planning and Integration department is working towards high potential in delivering value towards the following:

1.     Reporting projects and controlling and providing governance

2.     Managing overall EBS IT Budget and accruals

3.     Integrating with procurement, HR and finance department on regular basis for alignment

4.     Working towards improving the vendor management data and the process around it

5.     Delivering on demand reporting to senior management

6.     Assist Prepare project plan, charter and work breakdown structure

7.     Report and escalate to management as needed.

8.     Analyze the actual performance and adherence against the planned activities.

9.     Keep all stakeholders informed of progress and issues
