Pillar Health Solutions, a dynamic healthcare company focused on insurance-supported dietary and exercise counseling programs, is seeking a Business Development & Operations Lead. This full-time remote position requires 40 hours per week, with an hourly rate between $6 and $8, to be finalized during the final interview. The role is critical as the company expands its physician partnership network and enhances operational systems to deliver an improved client experience. The ideal candidate will serve as a trusted extension of leadership, combining expertise in business development, client success, operations, and strategic problem-solving.

Key Responsibilities

Physician Acquisition & Business Growth: Develop and execute strategies to attract new physician and clinic partners. Identify and engage healthcare decision-makers such as physicians, practice owners, and office managers. Support initiatives aimed at organic and local-market growth. Assist in crafting physician-facing messaging, success stories, and testimonials to reinforce Pillar’s value proposition. Continuously research new channels and tools to increase qualified partnership opportunities.

Discovery Calls & Client Conversion: Lead or facilitate discovery calls with prospective physician partners, clearly communicating services, fees, billing processes, workflows, and partnership expectations. Understand client needs and align Pillar’s offerings accordingly. Follow up on leads and refine the conversion process based on feedback. Comfort in direct communication with physicians and senior decision-makers is essential.

Physician, Patient & Program Operations: Act as a primary operational contact for physician partners, monitor feedback, and coordinate with dietitians, virtual trainers, and support staff. Facilitate appropriate patient-provider matching and track patient engagement to anticipate and resolve issues. Address service concerns promptly and establish regular check-ins among patients, providers, and staff to ensure a positive experience.

Founder Partnership & Executive Communication: Work closely with leadership, providing daily business updates. Prepare meeting agendas, deliver concise project updates, explain outcomes, and present actionable recommendations. Negotiate priorities and timelines while maintaining transparency and professionalism, even under pressure.

AI & Technology Integration: Identify opportunities to integrate AI into workflows for research, analysis, documentation, communication, marketing, and process improvement. Demonstrate practical AI literacy beyond basic usage.

Operational Excellence: Monitor key performance indicators, optimize workflows, maintain accurate client and billing information, and support scheduling, invoicing, and reporting. Develop or refine standard operating procedures as needed and assist in scaling operations as the company grows.

Required Qualifications

- Minimum of 2 years’ experience in business operations, executive support, business development, customer success, healthcare operations, or related fields
- Proven ability to work directly with senior leaders, founders, executives, physicians, or business owners
- Strong client-facing communication and relationship management skills
- Ability to manage multiple responsibilities in a fast-paced, startup environment
- Independent problem-solving skills without reliance on detailed instructions
- Excellent written and verbal communication, with confidence in facilitating meetings and business discussions
- Strong organizational skills and clear progress reporting
- Sound judgment in sensitive or difficult conversations
- Self-directed learning of new systems and processes
- Practical experience using AI tools for business or productivity purposes
- High attention to detail, especially regarding client data, billing, reporting, and financial accuracy

Preferred Qualifications

Experience in healthcare practices, startups, wellness, medical services, or physician-facing roles is highly valued. Background supporting startup founders or small business owners is a plus. Experience conducting discovery, sales, partnership, or client conversion calls, as well as exposure to physician acquisition or healthcare business development, is preferred. Familiarity with local or organic marketing strategies and Customer Success Management experience will be advantageous. Candidates with Chief of Staff or senior Executive Assistant experience and a proven ability to introduce new technologies or AI-driven workflows into an organization are especially encouraged to apply.
