Job Summary

Under the guidance of the Logistics Officer (LO) the LA will, in general, assist the LO in any tasks, and will be responsible for:

  • The daily management of the field office and its assets
  • The receipt, storage and distribution of goods

in strict co-ordination with, and support to, all the other project units, and in strict compliance with CESVI’s and the Donor’s ethical and security rules, mandate and mission.

1.   Field office management

With reference to the management of the field office, the LA will assist the LO in the following tasks:

  • The inventory and tracking of furniture and equipment
  • The purchase and maintenance of all the assets (furniture, equipment, services, etc.) of the base office
  • The procurement of any goods, consumables, equipment, services, etc., and the execution of any other tasks necessary for the general management of the field office
  • The management of the use of the project field vehicles

2.   Storage and distribution of goods

With reference to the storage and distribution of goods, the LO will assist the LA in the following tasks:

  • The receipt, storage, issue and distribution of goods procured, according to the general project implementation plan and the specific distribution plans prepared by the LO, and in close co-ordination with the Warehouse Keeper for the record of the in/out flow of goods to/from the warehouse
  • The planning and management of goods distributions, including - when necessary - the organization of the loading/unloading operations, the transportation, the preparation of the distribution site and the supervision of the “distribution team”
  • When requested, the quality check and the issue of acceptance certificates for the goods received
  • The update and record of the distribution register and the regular communication of these updates to the LO
  • The relations with the local suppliers and contractors

The LA will also be requested to:

  • Maintain a good knowledge of CESVI internal rules, Human Resources policy, codes of conduct, official Internal Communications
  • Develop a relative autonomy in the implementation of her/his tasks
  • Report activities’ progress to the LO on a daily basis
  • Timely report to the LO about any problem arising during the implementation of the project that might harm the achievement of the projects’ objectives or the organizations' values
  • Timely inform the PM, the Security Officer and other colleagues of any issues that might endanger the security of people and goods related to the project
  • In general, guarantee availability and co-operation to any other CESVI staff, at any level
  • Be available for any other task directly related to the activities of CESVI in southern Punjab, or other Provinces in case of emergency
