Monitoring of Motor Transport Issues, Daily take updates from Motor transport staff regarding the condition and schedule of company pool cars & female staff van. Delegate the Motor transport work as per hierarchy.

Make sure all the fire and safety measures are being followed. First Aid Box is placed in every branch/ Office.

Handle food expense petty cash wisely and make sure office orders invoices are maintained and managed within the budget.

Maintain & update vendors list nationwide weekly (Travel agents, Insurance companies contact person’s data – company wise, Electricians, Plumber Services, Furniture and Fixture Vendors, WAPDA, PTCL, points & Generator technicians/ repairing centers.

Office meetings and seminars / conferences arrangement.

Overall company & branch expenses needs to be submitted to Finance department after checking their original bills and documentation sent from all branches. Ensuring the expenses are fair and authentic and submitted timely.

Good coordination with Lahore Chamber of Commerce and Foreign Ministry should be maintained with regard to Expatriates Visa Renewals, so that visa process is timely ensured. Ensure Expatriates Passports and Visas are renewed before time by monitoring their expiry data on monthly basis

Car Maintenance Log, Car documentations, Annual Token Tax Payments, Transfer agreements, Paint Jobs, Preventive Maintenance Services, Tires and Mobil Oil Change, Car Insurance Renewals, Claims & current market value needs to maintained and supervised by your subordinates (Admin Staff & Motor Transport Staff).

Monitor Security guards vendor Invoice and attendance on monthly basis.

Protocol arrangement for VIP/Foreign guests.

Ensuring healthy and hygienic environment of Head office & Villa.

Other tasks assigned by line manager.
