• Administer long listing process by downloading of resumes from email id(s) and enter data in HRIS against vacant position(s).
  • Follow Up with staff for potential resumes against vacant positions.
  • Ensure logistics arrangement for recruitment process in coordination with admin focal person.
  • Communication with candidates regarding test, interviews, onboarding and other activities.
  • Assist Supervisor and project HR team at head office in recruitment process for commencement of test(s) and interview(s).
  • Invigilate test(s) and assist Regional Coordinator and Project Manager in interview(s) against vacant position(s).
  • Compile recommended and reserved candidates details and share with supervisor.
  • Follow ups with staff supervisor(s) for sharing of joining report(s) of newly hired staff and update staff information in HRIS.
  • Deliver SOP’s sessions to UCPO’s/ TCSP’s at district and town level.
  • Timely Print and distribute offer letters, employment contracts, extension letters and employment cards of PTPP project staff.
  • Timely print and distribute disciplinary letters to the field staff and file the copy of the letter along with the acknowledgment in the personal file and update the status in HRIS accordingly.
  • Regularly review CNIC’s expiry date and do follow ups with staff for collection of renewed copy of CNIC’s.
  • Administer all field activities (SOPs session, Contract distribution, investigation etc ) and physical verification of newly hired staff
  • Conduct exit interviews of resigned staff and update the information in HRIS.
  • Provides secretarial support to regional coordinator by organizing office work, entering data in HRIS, coordinates with field staff and maintaining office equipment’s.
  • Prepare salary adjustment sheet and updated accounts and share it with Regional Coordinator.
  • Assist Regional Coordinator in performance appraisal activity and file their performance appraisal forms in staff personal files.
  • Support Regional Coordinator in investigations on all disciplinary matters like locality check, abuse of authority, dual jobs, data fudging, unauthorized and persistent absence, violation of kinship policy etc.
  • Support to PTPP staff for any kind of assistance required while facing obstacles in performing their job.
  • Follow up on the insurance cases and timely share complete documents with HO for further processing.
  • Maintain personal files of separated staff.
  • Updating newly hired staff all information in HRIS including bank account detail.
  • Compilation of attendance record of staff and follow-up with staff supervisor(s) for missing attendance sheet(s) and share the summary report with the Project Manager as the per defined timeline.
  • Enter all leave applications record in HRIS on daily basis.
  • Updating accrued leave balance in HRIS on quarterly basis.
  • Timely attach Signed offer letters, employment contracts, and extension letters along with acknowledgment in staff personal files and update the status in HRIS.
  • Prepare & Maintain all project staff personnel files as per document checklist, follow up for new joiner documents and update regularly all staff personal details and personal files status in Excel sheet to facilitate management for different analysis.
  • Data Entry of Test(s) and interview(s) marks of candidate(s) in HRIS.
  • Administer attendance sheet of all activities and share it with supervisor.
  • Any other task assigned by supervisor.
