The Community Executive plays a vital role in ensuring a smooth, welcoming, and professional environment for all members, visitors, and clients at Growork. This position involves managing daily branch operations, maintaining high service standards, coordinating with staff, and supporting community engagement initiatives. The Community Executive is expected to take full ownership of the branch’s daily activities and ensure all tasks are completed efficiently and on time.

Key Responsibilities

Community Experience & Member Relations
Greet members, visitors, and clients with professionalism and warmth. Build and maintain positive relationships to foster a friendly community atmosphere. Address member queries, complaints, and service requests promptly, ensuring timely assistance with facilities such as internet, meeting rooms, refreshments, and other amenities. Follow up on complaints until resolved and maintain clear, professional communication. Support member engagement through events, celebrations, and community initiatives, while collecting feedback to enhance the overall experience.

Daily Branch Operations
Ensure the branch is clean, organized, and presentable at all times. Conduct regular inspections of workspaces, meeting rooms, washrooms, pantry, reception, and common areas. Oversee cleaning staff and office boys to confirm tasks are completed properly. Monitor availability and quality of tea/coffee service, drinking water, pantry supplies, and respond promptly to member requests. Verify that all equipment, including lights, ACs, internet, furniture, and other facilities, are functioning correctly. Report and follow up on repair and maintenance issues until resolved. Monitor staff attendance, punctuality, uniform standards, hygiene, and professional conduct. Maintain accurate records related to complaints, maintenance, inventory, and daily operations. Ensure all opening and closing procedures comply with company policies.

Staff Coordination & Accountability
Coordinate daily responsibilities with office boys, cleaning staff, maintenance teams, and other departments. Clearly communicate tasks and verify completion through physical inspections rather than relying solely on staff reports. Report any repeated negligence, delays, or misconduct to the Community Experience Lead. Ensure staff adherence to company policies, uniform standards, working hours, and service protocols. Follow up on pending tasks to guarantee timely completion.

Sales & Business Support
Respond professionally to inquiries regarding coworking memberships, private offices, meeting rooms, and other services. Maintain records of walk-in visitors, inquiries, and prospective clients. Follow up with potential clients as assigned and assist in retaining existing members by addressing their concerns and improving their experience. Support the sales team in achieving branch occupancy targets.

Community Engagement & Marketing
Assist in planning and executing member activities, events, workshops, and celebrations. Encourage active member participation in community initiatives. Collaborate with marketing and social media teams for event coverage and branch updates. Capture photos and videos of branch activities when required. Ensure the branch maintains a professional and visually appealing appearance suitable for marketing purposes.

Reporting & Documentation
Prepare and submit daily operational reports to the Community Experience Lead. Maintain detailed records of member complaints and their resolution status. Report maintenance issues, inventory shortages, staff attendance, and other operational concerns. Submit accurate checklists, photographs, and supporting evidence as needed. Maintain thorough handover notes for pending tasks between shifts. Immediately escalate serious complaints, emergencies, safety concerns, and unresolved operational issues. Ensure all reports are based on actual inspections and verified information.

Required Qualifications
The ideal candidate should be proactive, responsible, and highly organized. They must demonstrate strong ownership of branch operations and possess excellent communication and interpersonal skills. Previous experience in community management, customer service, or facility operations is preferred. The ability to coordinate multiple tasks, manage staff, and maintain high service standards is essential.

Preferred Qualifications and Benefits
While not explicitly stated, candidates with experience in coworking spaces, sales support, or event coordination will have an advantage. The role is full-time and requires in-person attendance at the branch location. Opportunities for professional growth within the community and operations management areas may be available.

This position offers a dynamic work environment where the Community Executive can contribute to building a vibrant and engaging workspace community.
