Coordinator - Warehouse

The Aga Khan University Hospital in Karachi is seeking a dedicated Coordinator for its Warehouse department. Established in 1983, Aga Khan University (AKU) is a private, autonomous international institution with campuses and teaching sites across six countries. The Coordinator will be responsible for overseeing warehouse operations to ensure timely delivery, accurate inventory replenishment, and strict adherence to quality and safety standards, playing a crucial role in supporting the hospital’s supply chain efficiency.

Key Responsibilities

Plan and coordinate with users, on-campus distribution stores, maintenance stores, and secondary hospital warehouses to guarantee timely delivery and inventory replenishment, consistently meeting Key Performance Indicators (KPIs). Regularly follow up on pending inspections and discrepancy items, maintain accurate updates on deliveries, and expedite the processing of Goods Receipt and Inspection Notes (GRIN) for both imported and local receipts. Manage vendor relations at the receiving counter while ensuring compliance with warehousing policies, including the proper handling of temperature-controlled items.

Schedule and oversee warehouse team activities to meet fulfillment center demands, optimizing workflow efficiency and minimizing overtime. Ensure effective, safe, accurate, and timely stock management, including space allocation, stock transfers, and the handling of non-conforming or expired products. Oversee receiving, storage, preservation, monitoring, issuance, expiry tracking, and disposal of warehouse items in line with departmental policies.

Maintain proper records of receiving, issuance, inspection, picking, expiry reports, discrepancies, and disposals at all times. Organize and conduct accurate periodic cycle counts and stock takes, reporting physical variances quarterly, and perform regular checks to reconcile stock adjustments. Take overall responsibility for supervising, training, and developing the warehouse team while enforcing personal safety standards. Maintain close coordination with internal customers to ensure desired service levels.

Ensure warehouse staff consistently demonstrate CARR behavior—Communication, Attitude, Response, and Respect. Maintain documentation and accurate records of all warehouse activities. Ensure compliance during internal and external audits, including ISO and JCIA standards.

Required Qualifications

A Master’s degree, Pharm D, or a minimum of 16 years of education is required. Candidates must have at least 3 years of relevant supervisory experience, preferably within supply chain management. Proficiency in Microsoft Office applications, particularly MS Excel, is essential. Strong English language skills in reading, writing, and speaking are necessary.
