The Court Clerk plays a vital role in supporting the litigation team by managing court and case-related documentation, maintaining accurate records, preparing client files, and assisting with overall case administration. This position ensures the timely collection of court documents, proper organization and updating of files, and regular reporting to facilitate efficient litigation management and adherence to organizational standards.
Key Responsibilities
Court Documentation & Collection:
Collect case-related court documents daily, including attested Vakalatnamas, disposal orders, certified copies of judgments, bail orders, and other relevant paperwork. Obtain police papers for Advocates after prosecution copy supply is complete. Organize and submit all collected documents to the litigation team and follow up on any pending court documentation as needed.
Client Files & Record Management:
Prepare new client files with all necessary documentation such as Vakalatnamas and entry forms. Ensure client files are complete, well-organized, and regularly updated. Maintain accurate Vakalatnama registers and related records while safeguarding confidentiality. Assist the litigation team in retrieving case records and documentation when required.
Reporting & Progress Tracking:
Prepare and submit monthly and quarterly reports within set deadlines. Track received and outstanding disposal orders and certified copies. Provide monthly progress updates during the first week of each month. Maintain detailed records of pending and completed documentation and supply relevant data to litigation management for case monitoring.
Litigation Administrative Support:
Offer administrative and documentation assistance to Advocates and the litigation team. Coordinate with court offices and other authorities to collect necessary documents. Help maintain organized litigation records and support timely completion of documentation related to litigation matters.
Additional Duties:
Perform any other official tasks assigned by Litigation Management or supervisors.
Required Qualifications
- Matriculation or Intermediate education with at least a Second Division, preferably Intermediate.
- 1–2 years of relevant experience in court documentation, legal support, clerical work, or related fields.
- Experience working with courts, legal offices, law firms, or litigation teams is preferred.
- Proficient computer skills, especially in Microsoft Word and Excel.
- Strong record-keeping, documentation, and organizational abilities.
- Good follow-up and coordination skills with the ability to work independently and as part of a team.
- Ability to manage routine tasks and meet deadlines efficiently.
Technical Knowledge:
Basic understanding of court documentation and litigation processes, including familiarity with Vakalatnamas, disposal orders, judgments, bail orders, and police papers. Knowledge of document and records management is essential. Ability to read and write in English, Sindhi, and Urdu is required.
