This role serves as the primary point of contact for customers regarding daily inventory management, shipping, logistics, and complaint handling, ensuring seamless communication and service delivery. The position supports the Manager Commercial in LPG business operations and coordination, while adhering to internal and external reporting standards as per company guidelines. It focuses on strengthening customer relationships, managing commercial contracts, and working closely with the Terminal Manager to align with company objectives. The role also supervises the CLS Coordinator in berth scheduling, dispatch reporting, and inventory reconciliation, while exploring new business opportunities alongside the commercial team.
Key Responsibilities
- Ensure strict compliance with the company’s safety, health, and environmental policies when interacting with customers, staff, and external agents, maintaining safety as a non-negotiable priority.
- Manage customer relationships by conducting regular coordination meetings, understanding customer needs, and maintaining contacts across various organizational levels. Prepare and upload meeting minutes and visit reports promptly into the CRM system, ensuring data accuracy and timely follow-up.
- Oversee complaint management by registering and resolving customer complaints within defined timelines, ensuring customer satisfaction and prompt issue closure.
- Guide the CLS Coordinator in preparing customer and service provider surveys, coordinating pre-survey meetings, and implementing service improvement plans based on survey outcomes.
- Support berth planning and scheduling to optimize jetty and storage utilization, coordinating with customers and operators. Maintain updated customer information regarding product requirements, shutdowns, and expansion plans for internal planning purposes.
- Manage inventory effectively by ensuring accurate reconciliation, timely reporting, and adjustment of stock. Facilitate delivery reconciliation, billing inputs, and utility consumption monitoring, reporting discrepancies to management as needed.
- Develop and maintain positive relations with Port Qasim Authority and other government agencies to ensure smooth vessel and truck operations, and coordinate emergency support with neighboring companies.
- Identify opportunities for procedural improvements and system development, enhancing CRM utilization and reporting tools to support decision-making.
- Participate actively in company initiatives such as KPI reporting and stock control, ensuring alignment with organizational goals.
- Coordinate WEBOC transactions related to berthing, sailing, port clearance, and gate operations in compliance with customs regulations.
- Supervise one immediate subordinate (CLS Coordinator) and collaborate closely with the Commercial Manager and GM C&BD for decision-making and reporting.
Required Qualifications
- Minimum of 5 years of relevant professional experience in customer relationship management, logistics, or commercial operations within the LPG or related sectors.
- Bachelor’s degree in Business Administration, Engineering, Science, Commerce, or a related field.
- Strong leadership competencies including advanced skills in putting people first, collaboration, execution, and adaptability.
- Proficient in stakeholder management, verbal and written communication, analytical thinking, report writing, and customer relationship management.
- Familiarity with commercial contract drafting and management, as well as inventory and berth scheduling processes.
