KOSSA is dedicated to creating a future where talent and determination shape life outcomes rather than circumstance or gender. By providing opportunities in sport for youth across Africa, KOSSA empowers young athletes to grow both on and off the field, fostering education and global advancement. As the organization expands, maintaining a detailed record of each player’s journey becomes essential. The Documentation, Logging & Archive Officer will play a vital role in preserving KOSSA’s player histories and the broader story of the organization through meticulous management of media and content archives.
Key Responsibilities
- Review and log all incoming visual content, producing detailed synopses for each media item that include location, event, characters, and main action. Document technical details such as file name, shot date, format, codec, and editor’s notes, along with quality ratings.
- Develop and maintain a standardized metadata framework to tag content by player, age group, country, academy, competition, position, event, and development stage, ensuring quick retrieval even years later.
- Catalogue footage from matches, training sessions, tournaments, and other events, maintaining references to full match footage and highlight clips to ensure accessibility within the archive.
- Build and manage KOSSA’s digital asset library, including folder structure, naming conventions, version control, backup, storage optimization, and cloud archive maintenance to keep media secure, organized, and scalable.
- Implement advanced media management systems, leveraging AI-powered transcription, tagging, and search tools to enhance archive efficiency and accessibility.
- Collaborate with the media team to provide editorial and storytelling support for sponsorship presentations, player profiles, social media campaigns, investor communications, and historical projects, ensuring critical footage and stories are preserved.
Required Qualifications
The ideal candidate must have exceptional organizational skills and a strong process orientation, capable of managing large volumes of information with precision. Excellent documentation and record-keeping abilities are essential, along with proficiency in written communication and comfort working across various technology platforms.
Key skills include the ability to write clear content synopses, describe shots concisely, assess and rate footage based on aesthetic and narrative criteria, and identify themes, characters, and storylines. Maintaining detailed, well-structured notes and spreadsheets is critical. Familiarity with digital media library and management tools, or the ability to quickly learn them, is required. The candidate must be able to work independently and demonstrate high attention to detail.
Preferred Qualifications and Benefits
Experience in media logging, production management, documentary filmmaking workflows, or managing digital archives is highly valued. Familiarity with sports operations, Google Sheets, and AI-assisted cataloguing tools is a plus. Backgrounds in journalism, filmmaking, information management, sports administration, or archival sciences are advantageous. A passion for football and athlete development is also beneficial.
The ideal candidate is systematic, detail-oriented, and passionate about organizing information. They possess a strong visual memory, understand storytelling, and appreciate the importance of preserving history. Excitement about technology and workflow optimization is essential, as is the ability to create order from extensive content and data. They should feel comfortable discussing football talent development, documentary footage, metadata structures, and archive systems.
This role is crucial because, while many football organizations track players, few preserve their stories. At KOSSA, every player’s journey represents a family, community, and future opportunity. The Documentation, Logging & Archive Officer will safeguard KOSSA’s institutional memory and build one of its most valuable assets: the documented history of its players.
