Facility Services Executive

The Facility Services Executive at Telenor Shared Services Pakistan plays a vital role in ensuring smooth and efficient operations within the facility management function. Reporting to the Facilities Manager, this position is responsible for coordinating a variety of administrative tasks including visa processing, travel arrangements, hotel bookings, vehicle coordination, and building operations and maintenance. The role supports both local and international employees by managing logistical needs and maintaining compliance with relevant regulations, contributing to a seamless working environment.

Key Responsibilities

- Facilitate end-to-end visa processing for employees, including coordination with immigration authorities, embassies, and government bodies such as FIA and MOI. Maintain accurate records of visa statuses and expiration dates.
- Arrange domestic and international travel, managing flight bookings, ticket changes, cancellations, and refunds in coordination with travel agencies.
- Oversee hotel bookings for business trips, conferences, and events, ensuring accommodations meet the needs of employees and foreign guests.
- Manage building operations and maintenance by coordinating with vendors and handling daily operational activities to ensure the facility is well-maintained.
- Coordinate vehicle arrangements including rental cars, chauffeur-driven vehicles, and shuttle services, scheduling pick-ups and drop-offs as required.
- Serve as the primary contact for facilities-related inquiries from employees, vendors, and external partners.
- Maintain and update Standard Operating Procedures (SOPs) related to facilities management.
- Manage ad hoc projects such as organizing away day activities and other special events.
- Handle office inventory management, including giveaways and clearance processes for resigned employees.
- Oversee medical insurance renewals and endorsements, as well as fuel card activities and deactivation for eligible staff.
- Provide VIP guest support by arranging airport transfers from office or hotel locations.

Required Qualifications

- Graduate or Master’s degree with a minimum of 2 years of relevant experience in facilities management, travel coordination, or a similar role.
- Proven ability to manage multiple tasks efficiently, demonstrating strong organizational and multitasking skills.
- Excellent communication and interpersonal skills, capable of interacting professionally at all organizational levels.
- Familiarity with visa regulations, travel logistics, and hotel booking procedures.
- Attention to detail and a proactive approach to problem-solving.

Preferred Qualifications and Skills

- Good knowledge of visa application processes and government registration procedures.
- Ability to work effectively under pressure and manage a heavy workload while meeting stringent deadlines.
- Willingness to accept challenges and adapt to changing priorities.
