FIBI Vacation Rentals is a nationwide short-term rental management company. We take underperforming or vacant properties and turn them into top-performing Airbnb listings (inspection, planning, furnishing, and launch) and then keep them performing for as long as we manage them. We run on systems, spreadsheets, and AI. Every property we take on generates hundreds of line items, dozens of vendors, and a launch date that doesnt move. This role is the person who keeps the material orders organized and on schedule so we can launch on time.
THE ROLE
The Setup & Inspection Coordinator supports the team that runs every property setup. You will work most closely with our Operations Manager, who owns the setup process end to end, and about half your time with our Director of Operations on plans and budgets. You will run our virtual property inspections, turn what you find into the itemized plans we present to owners, execute and track every order until it arrives, and keep our existing portfolio inspected and fully stocked. Design decisions are made by others, and the launch date is set by the team; your job is to make sure the plan is complete, the numbers are right, and your deliverables land on time so the launch does. This is a role for someone who is exceptionally organized, precise with details, fluent with spreadsheets, and uses AI as a daily working tool. RUN VIRTUAL PROPERTY INSPECTIONS: Facilitate live video inspections of new properties, directing the on-site inspector or vendor room by room so we capture every measurement, photo, video, and detail we need. Record findings in real time in our structured inspection workbook: what's present, what's missing, condition, quantities, cleaning and maintenance issues, and measurements. File and log recordings, and convert findings into project tasks and dates in ClickUp.
BUILD THE PLANS WE PRESENT TO OWNERS: Complete the Setup & Design Inspection workbook after each inspection: an itemized, room-by-room materials list with quantities, costs, and links. Organize it into our 3-Tier plan (Tier 1 Essentials, Tier 2 Optimization, Tier 3 Design) with an accurate budget for each tier. Apply our Peak Profit analysis (the revenue and comparable-property analysis that determines what a property needs to earn at the top of its market) so every plan is built around guest count, sleeping capacity, and the amenities that drive revenue. Verify layouts and measurements so everything proposed actually fits, and run budget adjustments when owners request changes.
EXECUTE PROCUREMENT AND TRACK IT TO THE DOOR: Place orders from the approved materials list across Amazon, Wayfair, and other vendors, typically hundreds of items per property. Track every order: status, tracking numbers, delivery dates, receipts, invoices, returns, and spend against budget. Coordinate delivery timing so everything arrives within the same one-week window, and keep the on-site team and ClickUp current on where every item stands.
INSPECT AND PROTECT OUR EXISTING PORTFOLIO: Facilitate recurring virtual inspections of properties already under management. Confirm each home still meets the condition and inventory standard we set it up to (in good repair, par inventory complete, nothing missing or worn) and turn gaps into orders and work items.
WHAT WE'RE LOOKING FOR (skills, not a specific resume; STR or property management experience is a plus, not a requirement): A high degree of organization. Exceptional attention to detail. Real spreadsheet fluency (formulas, totals, lookups, multi-tab workbooks). Procurement and logistics tracking ability across large multi-vendor order volumes. AI fluency (Claude, ChatGPT, or similar used daily). Confident live communication on video calls. Self-management. Excellent written and spoken English, available Mon-Fri during PST hours. Tools we use: Google Workspace (Sheets especially), ClickUp, Zoom, Amazon and Wayfair business accounts, AI assistants; experience with all of them is not required, the ability to learn them fast is.
