The Finance & Admin Officer plays a vital role in supporting the organization’s financial integrity and ensuring smooth daily operations. This position involves managing a broad range of financial and administrative tasks, including handling financial transactions, payroll, petty cash, tax filing, procurement, office supplies, and employee transport coordination.
Key Responsibilities:
- Maintain and update all financial records in both digital and physical formats.
- Manage accounts payable and receivable, payroll processing, and conduct monthly bank reconciliations.
- Oversee the complete payroll process, including attendance and leave verification, salary preparation, deductions, overtime, and allowances.
- Maintain and reconcile petty cash with proper documentation, approvals, replenishment, and monthly reporting.
- Prepare and process invoices, deposits, purchase orders, cheques, and related financial transactions.
- Ensure accurate coding and verification of all financial transactions.
- Manage bank relationships and handle account statements and related financial matters.
- Process statutory deductions and payments such as taxes and provident fund punctually.
- Handle all tax-related responsibilities, including monthly tax deductions, filing returns, and ensuring compliance with local tax regulations.
- Oversee employee statutory benefits like EOBI and Provident Fund, including registration, monthly contributions, withdrawals, and record maintenance.
- Maintain records of all incoming and outgoing correspondence and documents.
- Monitor attendance and leave records in coordination with supervisors and report on staff punctuality and compliance with office policies.
- Manage office supplies and inventory, ensuring adequate stock levels, timely replenishment, and cost control.
- Supervise the office’s transport service, including route planning, scheduling, fuel management, and coordination with drivers to ensure safe and timely employee transportation.
- Oversee procurement of equipment, furniture, and maintenance materials.
- Supervise administrative support staff to ensure efficient daily office operations.
- Manage office maintenance, safety, and security arrangements.
- Support HR functions such as documentation, personnel file maintenance, and general staff recordkeeping.
Required Qualifications:
- Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
- 1-2 years of proven experience in a finance and administration role or equivalent.
- Strong understanding of basic bookkeeping, accounts payable and receivable.
- Proficient computer skills, including MS Word, Excel, and email communication.
- Experience in tax filing, EOBI administration, petty cash handling, and procurement management.
- Effective written and verbal communication skills, able to interact with individuals at all organizational levels.
- Ability to work both independently and collaboratively within a team.
- Attention to detail and ability to interpret and implement company policies and procedures accurately.
